Welcome – Erin Powell

Vice Provost Report – Ann Campion Riley

  • Reporting structure will change for Edward McCain; he will now report to Deb Ward.
  • Sheryl Cullina will be moving to Campus HR. We will fill her position with a medium level officer and change the structure to have this position report to Kathy Peters, aligning it with other Fiscal Officer responsibilities on campus.
  • We will be hosting a Homecoming Open House in Ellis and welcome University Libraries staff to volunteer.
  • One Read event: tonight in Ellis Auditorium the film Thirteen is being shown.
  • Events in 114A: Entrepreneurial Quest speakers and Poetry readings.
  • One stop shop that was imagined for the libraries will now be a virtual One Stop Portal.

Question: Has the Teaching for Learning Center moved in?

Answer:  Yes, they are now in Ann’s old office.

Question: What are the One Stop Shop effects for Ellis relocations?

Answer:  We will keep it as is for the time being and will review needs as plans for the new Depository solidify.

 

Projects Update – Kathy Peters

  • Key card system and 24 hours started this fall. North and West doors will open 15 min early and stay open 15 min after posted hours.  Make sure the door gets closed behind you when Ellis is locked.  New policy: if you need to be in the building when it is locked, please let Pat Jones know.
  • Long term strategic plan for University Libraries is underway. Please let Kathy know of any projects you have in mind. Library Management Team will review the list and set priorities for the next 2-5 years.
  • Roof leak in East Reference and Information Commons-I. Roof has been repaired and ceiling tiles will be repaired this week.
  • Light poles will be installed on the southwest and northeast side of building.
  • Ellis carpet and lounge chairs have been cleaned. One set will be reupholstered.
  • Study rooms were repainted and chair rails and whiteboards installed.
  • Information Commons: Information Commons-II tables were repaired, power options were added to Information Commons-I
  • Updates to specialized libraries were mentioned, scanners in Digital Services have been approved for purchase, sink will be replaced in Physical Processing and doors to loading dock are being painted.
  • Ellis 114 will have new booths.
  • Special Collections Room 406 is open for classes. Hallways will be repainted. Stair lift will be replaced or improved.

Searches – Sheryl Cullina

  • Human Resources will be posting Sheryl’s position soon.
  • Also reposting the HR Assistant position as full time.
  • Library Information Specialist position will close soon.
  • Interviews are scheduled for the Technical Services Librarian position.
  • Reopened search for Associate University Librarian for Special Collections, Rare Books and Archives. Applications will be accepted through Dec. 1st.

Specialized Libraries – Deb Ward

  • Focused on Facilities, Communications and Planning.
  • Bike Desks were purchased at Health Sciences Library
  • Health Science Library is planning on going to a one service desk model.
  • Math Library Improvements consist of moving shelving and replacing it with open tables and study area.
  • Geology now has plug pods that reach study tables in the center of the space.
  • Engineering Library now has a digital monitor.
  • One-page fliers were created for each specialized library. Zalk Veterinary Medical Library page was provided as an example.
  • Chris Pryor is now on board with us and National Network of Libraries of Medicine.
  • Grant application is in process with SISLT for health information certificate program.
  • Journalism Library working on digital asset management plan.

Research, Access & Instructional Services – Jeannette Pierce

  • Thank you to all RAIS members for all that you do to support the students and libraries.
  • Library Management Team approved a change to our guest computer access. We now have 6 computers in the alcove behind the reference desk. We don’t have the ability to use guest wireless. UM System employees and students can use their login with campus specific domain on our computers.
  • Courtesy borrowing cards are only available to defined groups.  Other guests may obtain a borrowing card by becoming a Friends of the Libraries for a $50 membership to obtain the courtesy card.
  • Ellis circulation staff is now working at the reference desk between 8-5.  Felicity, Erin, Ivy, and Sean are also helping at the reference desk.  Thanks to all participated in training this summer.
  • Special Collections reading room hours are reduced to allow staff to structure their hours better.  Patrons always welcome to schedule individual appointments outside of reading room hours.
  • The Staff Development Group will host an Open House for Special Collections on September 20.
  • The Special Collections has a new display of student work in the Colonnade.
  • Instructional Services website has a new update.
    • Workshop registration is going well.
  • West Reference office area is now structured to host consultations with students. Digital media commons appointments are available upon request. Ellis 3E21, which used to be a group study room, is now a room equipped with green wall for filming.
  • Chat service is going very strong.
  • Poster printing moved to Digiprint.
  • Projector in classroom 213 will be replaced with a monitor.
  • We are grateful to have Student Assistants return from the summer break.

Acquisitions Collections and Technical Services – Report from Corrie Hutchinson via Erin Powell

  • We have started sending microfilm to CRL.  We are working on cleaning out 404 to create room for microfilm we plan to keep.  As we do so, we’ll change the signs as appropriate.
  • We are ready to work on the duplicate item project again at U2.  Look for emails to that effect later this fall.
  • The TLC officially moved into 52 Ellis the last week of August.  We have done a lot of rearranging in our area to create more work space, opened up a conference room, and done some much-needed general clean-up.  I plan to have an open house of the area later this fall after a hopefully successful search for a new Technical Services Librarian.
  • I’m still working on loading OCLC MARC records instead of Serial Solutions MARC records into MERLIN.  It is unfortunately a slower project than I had hoped, but one that will allow us more control going forward.  It is likely to take me most of this fall to get all the records replaced.  UMKC is also working on the transition and UMSL and MS&T are likely to do so as well later this academic year.
  • CSC has commissioned a task force to begin working on a collection development policy for the depositories.  With the expansion coming, it is a good time to get a policy together.
  • Thanks to everyone who has worked with ACTS to move forward after Catalog Management was dissolved.  We are transferring materials, cataloging government docs, working on the microfilm project, and much more.  It will take time before everything is settled into a new workflow, but we are making progress and doing our best.

Vice Provost Report – Ann Campion Riley

Display Cases – We sold Doughty Birds for about $8,000.  The loving cups moved to the west cases so the east cases can be cleaned and bulbs replaced.  Once completed, the loving cups will move back to the east cases.

Special Collections Renovation – First stage is to turn room 406 to a Special Collections classroom once the microfilm has been removed.  Some of the funding for this project is coming from what we raised from Giving Day. We hope this will be available for classroom use this fall.

114 Furniture – The new furniture was selected by ULSAC students and includes 2 person booths, tables and chairs.  Additional furniture will be ordered in future semesters.

Raise Pool – We are contributing to a campus wide raise pool from the required FY18 budget cuts.  These will be merit based raises.  Divisions will have to apply to the campus raise committee for each desired raise.

We have a possibility of obtaining a collection of medieval manuscripts.

Campus Strategic Plan – With the System Strategic Plan coming to a close we will embark on a Campus Strategic Plan and the Libraries will renew on our own strategic plan this spring.

Budget update – We will know more after the Curators meeting.

Human Resource Update – Sheryl Cullina

  • Two candidates for the Associate University Librarian for Special Collections Archives and Rare Books position are on campus today and Thursday.
  • Two candidates for the Missouri Coordinator, National Network of Libraries of Medicine will come to campus in the next two weeks.

Please complete your annual evaluations.

Password changes are due April 11.

ULSAC University Library Student Advisory Council Research Triangle Presentation – Grace Atkins

ULSAC is comprised of executive student leaders from graduate and undergraduate student organizations. Library Ambassadors is one group whose members also serve on ULSAC.

ULSAC first determined categories of interest to students in spring of 2017.

They collected data in fall of 2017.

They went on a research trip to libraries in the Research Triangle to see some of their visions in action during the winter of 2018.

They collected their data and research to create their Student Vision Plan in spring 2018.

They want to get a joint resolution passed on this vision and present it to System.  Proposals such as these indicate to campus leadership what the entire student body supports.

Ann has discussed this Student Vision Report with the Chancellor and Interim Provost.

Vice Provost Ann Campion Riley

Budget – No conclusive information on budget next year.  We should get the budget projections in the next week.  Unfortunately, we do expect some more cuts to collections. Some have wondered if the Program Evaluation Report that came out with the recommendation to drop some graduate programs would help us save money.  As we already don’t spend much resources in these areas, as compared to larger journals, it is unlikely that program cuts will create savings for our collections.  It is also unsure at this time how the University will act on these recommendations.

UM Library Council – will have the quarterly telepresence meeting next week and President Choi will join the meeting.  They plan to discuss the UM System shared collections funds.

Doughty Birds – We hope to pack them up and send them to the auction house by the middle of Feb.

Sign project – The sign project is almost complete but tell Shannon if you know of any changes that need to be made.

Special Collections update – We will be turning the Microfilm room into a classroom for Special Collections and will be soliciting for gifts for this project through the Giving Day which is March 15th.

Flu epidemic – Please use standard sanitization practices.  Service desks can obtain anti-bacterial hand sanitizing pumps from Duane.

Loving cups – Due to restrictions from the donors, we can’t sell the loving cups and need to continue to display them at this time.

Corrie Hutchinson – Associate University Librarian for Acquisitions, Collections and Technical Services

Deadline – We have passed the 50% firm order deadline and we re-allocated approximately $2,000 back to the pool.

Payment history reports – Reports are fixed and we hope to have real reports by Friday.

Phase I of Microfilm project – We will need to pack and ship out the microfilm to Center for Research Libraries. Collection Steering Committee will finalize the list of items to be sent, which will be shared with Selectors.

Rearrangements – The TS conference room will become space for conservation for Michaelle and Ann’s old office will be used as a conference room.

Full text finder – Switch will occur in July.

Van – We have a new Van for UMLD to replace the very worn and depreciated old van.

Dorothy Carner – Head of Journalism Libraries for Deb Ward – Associate University Librarian & Director Health Sciences Library

SPEC exhibit – Special Collections has put up an exhibit in the Engineering Library. Kate has found some complementary artifacts in the Heritage Collection and they are also on display, called Texts & Tools: A History of Engineering. We really appreciate Special Collections staff for doing this. Kate is creating a poster to advertise the entire exhibit and it will be part of ZOUME, the Mizzou Museum of Engineering. Various exhibits throughout the College will be on display and the ELTC is proud to do its part.

Math Library – Recent work in the Math Library is improving its appearance and reducing the crowded look in the study table area. Some old file cabinets and current-journal shelving has been removed, and it looks much more attractive as a result.

Cash-less – At HSL, photocopy services have been re-vamped to go “cash-less.” We are providing photocopy services to affiliates through copy cards, and asking non-affiliates to use the scanner. We are advising everyone that cash-based copy services are still available at the copy center in Ellis Library.

Manual update – The HSL safety manual has been updated. Anyone who would like to see it can do so by contacting Gayle Mooney.

Deb’s projects – Deb is working with the National Network of Libraries of Medicine to plan for Year Three of the contract beginning May 1. She is also working with SISLT on a grant idea to create a health-focused certificate for SISLT students.

Open House – Just a reminder of the Staff Development Committee Open House in the Digital Media Center immediately following this meeting. If you attend, you can submit that information to Sheryl to become eligible for a drawing at the end of the year for attending SDC programs and events.

Journalism – Sandy and Dorothy had done 20 instructional sessions, that reached about 400 students and that the JAM team had targeted all of the journalism core courses, reaching about 1300 students this semester.

New Positions – Digital Services is looking forward to welcoming Charlotte Landreth to their group on February 19th.   In January Felicity hired a new GA, funded with money from the Office of Graduate Studies, to help putting dissertations into MOspace. In January, Digital Services added 600 items to MOspace in January. With gift funds allocated for HathiTrust work, they were able to add a part-time staff member to Digital Services in November.  Since then we have contributed 731 items to the HathiTrust.

Special Collections – They are excited to have had the tall shelves removed from the reading room space, allowing them to move the reference desk closer to the door and, more importantly, opening up the room for easy sightlines and instructional space.   Kelli and Tim are busy with classes and orienting John to his new position.  Note that Kelli has moved into Alla’s old office, 402.  John is now in Kelli’s former office, 405.  Tim stayed put in 408.

Access Services – Seeking and evening circulation assistant.  They are sad to be losing Charlotte Landreth, but happy for her!  They have also been reviewing e-reserve processes and exploring self-check-out stats.  We had over 1200 self-checkouts between launch in Dec. 2019 and June 30th.

Reynolds Journalism Institute – Edward McCain continues to work on projects to ensure Missourian content is archived for future accessibility.  He and Dorothy continue to spread the word about the importance of personal digital archiving through their JAM (Journalism Archive Management) initiative.  He is also Chairing the National Digital Stewardship Alliance –  Web Survey group which is in the process for analyzing the survey results.

Gov. Docs. – Marie has been doing lots of work with the Preservation of Electronic Government Information grant and will be presenting about this project at ALA next week.

Open training- Joe, Kimberly, Taira, and Grace attended the Open Textbook Network Training offered by MOBIUS on Monday of this week. This group will be helping to offer training on our campus in the coming year.

Research and Instructional Services:

Office moves- We have been continuing to move offices in the west reference area:

Jeannette is now in Admin, Navadeep Khanal now in 156  (Jeannette’s old office) and Rhonda now in 154. Still to come — Rhonda’s long-term office (157) will become a consultation office sometime in the coming months.  Once 157 is complete, the current consultation office in 158 will become Joe Askin’s office.

MU Connect – Anne, Nav, and others have continued to work on how librarians integrate into MU Connect.  The recent focus has been on how faculty and academic advisors can use MU Connect to refer students to their subject librarian.  MU Connect is an online service that integrates into Canvas in order to help connect students with student services.

Writer’s Room – We continue to partner with the graduate student association to host the Writer’s Room on Thursday nights.  Librarians meet briefly with the graduate students at the beginning of many of the sessions to share information about our services.

Workshops – The entire group has been busy meeting with classes and conducting workshops.  Fridays @ the Library are going strong, and LibWIS Week, a special series of workshops for international students was completed last week, with LibWIS Wednesdays continuing throughout the semester.  You can see the variety of instructional activities by viewing the calendar of the web site.

Black History Month – Thanks to Rachel and Paula for working with the Black History month committee again this year.   Two events sponsored by the libraries are:

 

  • Feb 5 – Feb 28 Exhibit: War, Peace and Black Progress
  • Images on display at Ellis Library from the State Historical Society of Missouri and the University of Missouri Libraries. Sponsors: University Libraries and Missouri State Historical Society.
  • Feb 28  6pm Black History & Culture Trivia Night
  • Join local celebrities at the Columbia Public Library for a fun and competitive evening of history, culture and prizes. Sponsors: BHM Committee; Columbia Honda; Daniel Boone Regional Library; University Libraries; Paramount Marketing Group.

 

Open House – Nav is looking forward to seeing all of you at the Digital Media Lab open-house to follow the SAG.  This is the space where we have a green screen to make videos and the new Whisper Room for recording.

Anselm Huelsbergen – University Archivist

Archives updates from flood – We are now in Phase II of the flood recovery process.  We have moved from the 7th floor to the 1st floor to replace flooring.  Archives is now moving up to 7th floor again. Phase III will be replacing furniture and items not immediately needed.  All reference work has been continued and materials have been accessible.
