Discussion on Future of Library Assembly:
The following proposals were presented for discussion—

At the conclusion of the meeting, it was decided to hold open forums for all library employees regarding the proposals show below.  As Library Assembly is a representative body of the libraries as a whole, it would best serve to have input from those it represents as to whether it should continue as is, continue with changes or be disbanded.  The forums would promote discussion and other possibilities for this group.

Proposal #1 – Keep Library Assembly as is with charge to

  • Serve as a communications group and forum to share information across units
  • Act as advisory to the Director of Libraries.
  • Operational matters may be discussed. Any decisions or actions will be referred to the appropriate library entity.
  • The Chair or Library Director may poll the Assembly
  • All members are responsible to communicate reports of the Assembly discussions to their respective areas and to solicit information and questions from those areas for presentation to the Assembly as needed.

Proposal #2 – Keep the Library Assembly’s current charge (as above), but add the following charges:

  1. Improve the quality and effectiveness of communication within each department and unit. Model & encourage honest communications
  2. Provide a forum for ethical discussion of issues, in an atmosphere of mutual respect and propose solution collectively (problem solving with honesty, creativity, collective & effectively)
  3. Employees can make recommendations, proposals and requests for the development of departments (employee must work for that department), development of library services and resources. All recommendations, proposals and requests will be discussed and reviewed within Library Assembly and passed to the appropriate persons in the MU Libraries.
  4. Form a learning community, dedicated to employees’ concerns, ideas, actively representing the best interests of employees and improving morale (with sincere actions).
  5. Pursue, foster and nurture excellence, by encouraging great leadership (with our four core values, Respect, Responsibility, Discovery and Excellence), professional development of co-workers and development of individual departments or units.

Proposal #3 – Model charge after that of MU Staff Advisory Council

  • Advise Library Director of matters of mutual interest to MU Libraries staff
  • Provide an appropriate and effective channel for bringing staff concerns and interests to Library administration
  • Act as a liaison for staff and administration
  • Handle matters that are referred to them, those that the Library Assembly initiates and those that the Library staff may request

Proposal #4 – Structure has Library Director, Recorder provided by Administrative Office, two elected officers:  Chair and Vice Chair. The rest of the membership consists of the current Library Assembly departmental divisions, but without elected representatives. Divisions can set up rotating Reps, so that more staff can participate in meetings and less time is required of any one representative. Or if the dept. div. chooses, they may keep sending the same Rep. to all the meetings.

RAIS Report (Wendy Batson)
On June 8, the MU Libraries Government Information Department hosted its 31st annual Missouri Federal Depository Library Program Conference.   The following libraries sent representatives: St. Louis Public Library, Washington University, Saint Louis University, St. Charles City-County Public Library, Missouri University of Science and Technology, MU Law School Library, Rockhurst University, William Jewell College, Truman State University and the Missouri State Library.  Marie Concannon spoke on “Maximizing the Benefit of your Depository Status.” MU Libraries Director of Advancement Matt Gaunt was a special guest presenter, speaking on how to use FDLP collections and services to attract private donations for the library.

Digital Services Report (Adrienne Arden)
We have been working with LTS on a script to process material that we will submit for inclusion in the HathiTrust.  It now works!  Four additional volumes of the Vetusta Monumenta were added to the HathiTrust a few days ago. We have one left to process and submit. Check out the volumes currently available:  https://catalog.hathitrust.org/Record/100807769. A big thanks to Mathew Stephen for his work on the script.

In anticipation of being able to contribute to the HathiTrust regularly, Tammie Busch scanned a volume of the Illustrated London News from 1913. This volume will fill in a gap in the volumes already available in the HathiTrust. Read more about the Illustrated London News and view the volume we have digitized in the MU Digital Library at:  http://dl.mospace.umsystem.edu/mu/islandora/object/mu%3A351999. We will be submitting this volume to the HathiTrust soon.  We will keep this single volume in our digital library as a way to point to the HathiTrust collection, where additional volumes we scan will live.

The Platbooks of Missouri are a collection that is heavily used by researchers and genealogists.  In order to facilitate the use of the digitized collection, Adrienne Arden has been adding area coordinates to the page names. Recently, when digitizing a 1916 thesis, we found a treasure.  Folded in the back was a hand-colored map of Missouri, showing the distribution of soils.  When viewing the map, you will learn where in Missouri you might find Knox silt, Marshall silt, Shelby loam, Summit silt, and more. The original map was included as Plate X in the thesis "The Soils of Missouri" by Henry H. Krusekopf. The map the author used was published in 1914 by the Missouri Bureau of Geology and Mines. The base map shows railroads, cities with a population of over 5,000, and county seats. Felicity and Tammie will be attending ALA in Orlando this month. Tammie is going as a Public Library Leadership Fellows in the MU SISLT program. Felicity will be busy with committees (ALCTS Continuing Education and the Committee on Cataloging: Description and Access), visiting vendors, and attending programs.

We have been working with LTS and the Journalism Library to setup a new file-sharing method that will give the Journalism Library a digital storage site for Journalism Masters Project files. Digital Services will be able to retrieve files from the site so that they can be added to MOspace. Journalism Masters Projects often include numerous files and the new server space will accommodate the number and size of files often included. We’ll be testing the use of this new site with the 2016 Journalism Masters Projects.

Health Sciences & Veterinary Libraries (Terri Hall)
Amanda Sprochi currently has a cataloging practicum student, Natalia Wiggins-Prelas. Her practicum will conclude at the end of July.

Digital Services Report to Library Assembly (Adrienne Arden)

Thanks and congratulations to Adrienne Arden for her ten years of service to MU Libraries.

Felicity is chair of the four-campus Committee on Digital Initiatives Committee.  This year the committee the Library Deans and Directors approved a name change from the MERLIN Digital Projects Committee and a new charge.  The committee is currently engaged in identifying possible areas for collaboration and advocacy.

Current digitization projects include early MU theses and dissertations, a pilot project digitizing a volume of the Illustrated London News that will fill in a gap in the HathiTrust, the Pages of the Past project, 4-H circulars, and various requests.

We recently completed a project with a SISLT digital libraries class that led to the addition to MOspace of 50+ new items from the MU Cambio Center.  The project also led to a stronger relationship with the Cambio Center and its determination to include papers from conference proceedings in MOspace.

 

Cataloging & Metadata Dept. (Daniel Dodd)

In addition to routine cataloging, authority work, cataloging projects, and catalog management activities:

  • In the process of reviewing applications for our open Sr. Library Information Specialist position
  • Have begun moving “Z”s for transfer to Index Room 202
  • Resolving monthly MARCIVE loads for government documents
  • Continue making available remediated items from UMLD2 as they are reprocessed into compact storage
  • Resolving problems from UMLD2 of various types, needs cataloging, need barcodes, etc.
  • Continue to update annual holdings information for the HathiTrust

 

Health Sciences & Veterinary Libraries (Deb Ward and Terri Hall)

  1. HSL will once again partner with the University of Utah in the National Network of Libraries of Medicine. External funding has been approved for five years, with budget approved annually. The first year budget is around $126,000.
  2. Six HSL librarians attended MLA this year. News of special interest: A) Patricia Brennan was announced as the new director of the National Library of Medicine, effective August 1. Dr. Brennan will be the first female and the first non-physician to be named to this post. She comes from the fields of nursing and informatics. B) An interesting keynote described the emergence of “citizen science,” the growing phenomenon of using scientific laboratories by membership, as in a local gym. 3) Colleagues reported growing discontent with pricing policies of UpToDate. 
  3. HSL is the recipient of a new gift, The Richard and Tootie Burns Health Sciences Library Endowment. It is a $50,000 gift. Up to $10,000 can be spent the first year; the remainder will be put into an interest bearing account. In subsequent years, the interest from the investment may be spent. It is not devoted to any particular aspect of the HSL, so we do have some discretion on how it will be spent. We will be having some discussions about this in our planning meetings. Thanks to Jim and Matt for their work to make this gift a reality.
  4. HSL will be closing at 6:00 PM on the weekdays, May 31 – June 17. Noisy construction related to the new building will be taking place, and we will direct users to other libraries on campus.
  5. At a building coordinators’ meeting in April, news was released about a new phot-based parking system that will be put into place for fall. Hang tags will be eliminated when it is implemented. Deb will send out a link to slides pertaining to it and other issues discussed at that meeting to the All-Staff list.

6.   At the Medical Library Association meeting recently held in Toronto,

  • Rebecca Graves coauthored a poster, “Librarians Plan a Virtual Annual Meeting:  You’ll Never Guess What Happened”
  • Diane Johnson was a paper/poster  judge for the research section
  • Taira Meadowcroft was one of the official bloggers.

9.   We had a site visit and planning session with one of our librarian colleagues from the Springfield clinical campus.

May Library Assembly RAIS Announcements (Wendy Baston)

 

  • Nina Johnson is retiring at the end of May and Goodie Bhullar is also retiring this summer
  • Ellis hours will go until midnight in the Fall.  Journalism will begin closing at 10:00 p.m. instead of Midnight this Fall.
  • The Discovery Review Group has submitted a recommendation for choosing a discovery tool: EDS came out on top.  This recommendation will be considered by LMT.
  • There are plans to hire a temporary reference/instruction librarian for the coming year to help with general instruction and reference services.
  • Finals Week Stress Relievers in Ellis Library:

     

    • Therapy Dogs (four days 12 hours, with 23 dogs.)  Very popular w/ students!
    • Zen Coloring stations:  coloring books, single pages, and a large “MIZ ZOU” coloring poster.  The large poster was popular!
    • Opened Room 213 to students during the last two weeks, May 2-13, (about 244 hours total). No official usage statistics, but seemed to be used heavily – especially during the week of finals.

Digital Services Report (Adrienne Arden)

We continue to accomplish a lot of work, digitizing and adding material to the MU Digital Library, and keeping up with submissions to MOspace.  Following are brief details on recent activities of note. 

SCaRB gave us a flat-bed scanner that they no longer needed.  We did some re-furbishing of it and have found it useful for a couple of recent projects.

We continue to migrate content from the legacy digital library to the MU Digital Library.  Some collections that we are close to finishing are:  Savitars, Ag Experiment Station publications, and Alumni magazines. 

In addition, we are undertaking some small digitization projects in support of teaching and research, including a copy of a handwritten volume called the Lucubrator from 1797.  For those not familiar with the word, Dictionary.com lists “lucubrate” as a verb meaning, “to work, write, or study laboriously, especially at night.”  Our volume contains essays written by James Noyes on such topics as hope, envy, public character, bad neighbors, and friendship.  A class on 18th century literature is studying the text and will be providing transcripts of the content, which we will include in the digital library.  Kelli Hansen and Anne Barker are also working with the class. 

We also are digitizing the Paisa Akhbar, an Indian newspaper from the 1890s.  A doctoral student is interested in access to this paper.  WorldCat shows two holdings worldwide:  MU and a library in Germany.  We have four bound volumes with incomplete holdings from 1891-1989.   

MOspace is getting a lot of our attention as well.  Material from Cyberinfrastructure Day 2016 will be added to MOspace, and we will also post the winning essay in the MU Libraries Undergraduate Research contest.  We have been spending some time enhancing metadata for theses and dissertations.

LTS continues to work on the HathiTrust processing script.  We have a stockpile of digital items to contribute to the HathiTrust when the script becomes available. 

Felicity has been busy with SISLT search committee work.  Three candidates were on campus for interviews in the last two weeks.  Felicity is taking a five-week course through Coursera on data management plans.  She is finding it very useful and is excited about it because the instructor, Helen Tibbo, is well-known in the field of digital preservation. 

Tammie Busch, a member of the Campus Library Committee, has attended their recent committee meetings, and reports that they have been discussing the journal review process being undertaken by selectors and the units with which they liaise.   

Adrienne and Felicity attended the Difficult Conversations workshop sponsored by SDC.

MULAC Report (Sandy Schiefer)

Data Curation Librarian at the University of Tennessee, Knoxville, Chris Eaker, will visit MU April 7-8. His presentation is April 8th at 1-2 pm in room 213.

April 13th is the Cyberinfrastructure Day workshop.

RAIS Report (Wendy Batson)

  • The Libraries are looking at different discovery tools and would like your input on our current service, Summon.  All library staff are encouraged to complete a survey about Summon, which was sent out in an email to All Staff by Rhonda Whithaus.  The survey closes at 5:00 pm March 16.
  • The Libraries will be piloting a chat reference service made available through MOBIUS, called ChatStaff.  The service will extend our chat service to 24 hours.  RAIS will continue to use our current chat service through LibChat during our regular chat hours, and when our librarians go offline the ChatStaff professional librarians will take over to provide chat services.  The service will extend our total chat hours from Sundays at 10:00 am to Fridays at 5:00 pm and Saturdays from 10:00 am to 10:00 pm

Administration (Steven Hammer)

A “Working with Students” workshop will be conducted by Noah Hartsfield on March 24, 2016.  The emphasis of the workshop is creating positive student work environments.  There will be time allotted to sharing experiences and problem solving exercises.

Mark Ellis, Executive Staff Assistant, has announced he’s accepted a position at the Retirement Programs Office.  His final day in the Administration Office is March 25, 2016.

Cataloging & Metadata Department (Angie Burroughs Kelly)

The 202 indexes & abstracts transfer project continues.  Indexes A-TX are completed and in place.  The abstracts A-TX are being pulled, transferred, & labeled.

We continue to replace Y4 documents of Congressional hearings.

We’ve also been working on some Special Collection transfers and cataloging.

The RAPID ILL holdings update has been completed.

Selected files have been pulled from MERLIN for our trial of Ebsco Discovery Service.

HSL (Terri Hall)

Mike, Caryn & Diane have been working on the collections review database.

Taira won another culture of yes service strip from MU HealthCare

Rebecca was a key member of the team that won the Medical Library Assn”s chapter project of the year award for holding the first ever virtual chapter meeting.

We’ve been working on a way to recognize our authors publishing open access and have created a blog with pullout quotes form recent articles about the OA and the scholarly publish crisis.

Acquisitions & Collection Development, Accounting-ACTS Division, and Consortial Resources Report (Bette Stuart)

  1. Due to a lack of staffing resources, we have ended our WMS project that enhanced table of contents, summaries, subject headings, etc. for our records.  This was a joint project between MS&T, UMKC, and MU.  All libraries, not just MU, are unable to provide the needed staff time to clean up the records after loads.  We will finish the clean-up on the two files we still have and that will be all for this project for the time being. 
  2. The new LSO accounts payable feeder system, which allows financial data to be sent from Sierra to People Soft, is now fully implemented.  Special thanks to LTS for their technical support and programming efforts.
  3. Cost data in 360 Counter is up-to-date through FY 2015.

      • Last renovations were to the food prep area
      • $50,000 approved for updating the dining area, which includes

        4. Adding plug-ins
      • Closing time will change to midnight the week prior to and the week of finals rather than the 2:00 AM the previous semester
    • Campus Dining is opening another café in Lafferre Hall (Engineering Building)

       

      • It will be called the Potential Energy Café
      • Will open in January 2017
      • Staffing for the new café will be training at the Bookmark Cafe

 

  1. Policy #59 – After Hours Use of the Census Research Data Center (Mike Holland):

     

    • CRDC cannot be unavailable when the library is closed
    • This is an internal policy only to establish guidelines for after hour use
    • Concerns were brought up regarding making sure that users make sure that the main doors into the library are shut securely when entering and exiting.
    • Suggestions made to post a sign inside of the Center in case someone is locked in after hours

 

 

 

 

 

  1. Director Announcements (Deb Ward):

     

    • Deb and Ann attended a budget meeting last Monday with Ellen Blair, Garnet Stokes, Ken Dean-Senior Associate Provost, and Rhonda Gibler-Vice Chancellor for Finance. There will be a 5% reduction in our budget. $1.2 million reduction in collections, $800,000 cut in salaries which will come from retirements and from layoffs for two positions hired for the 24/5 hours. Should MSA give us money to keep extended hours, we would not lay off those employees.
    • Addition to UMLD – Ann related to Provost Garnett Stokes that if the libraries were to receive some one time only funds, our priority would be to the UMLD addition, estimated at $10 million.
    • Discussed the feasibility of going forward with another student fee vote. The idea is favorably viewed, but timing is critical
    • On Wednesday, April 12 there was a meeting on construction, with Dan The focus of the discussion was the role of the library 10 years into the future on this campus. It was an energizing discussion in which future hopes were met with interest. The need for the depository was made clear.
    • Last Thursday was the scholarly Communications ACRL Roadshow with focus on Open Access, with good attendance and an interesting program. We will continue to raise these issues with faculty.
    • Friday was MU Remembers Ceremony honoring those MU students who passed away last year. The library picks a new book in memory of each honoree. Cindy Cotner set up a LibGuide so that everyone can see the titles going back several years.
    • The Library Society Dinner featured speaker David Ferriero, the Archivist of the United States.

 

  1. Departmental Reports:

 

Digital Services Report to Library Assembly (Adrienne Arden)

Electronic theses and dissertations for fall 2015 are in MOspace with the exception of those having one-year holds and a few problems.  We received 100 theses and 102 dissertations.  Of these, 69 have one-year holds and will be added to MOspace in December.  Of those without holds, 103 are open access, 22 have access restricted to MU or the four UM campuses, and we have 8 problems for which the paperwork wasn’t clear.

We are expecting the PowerPoint presentations from Cyber Infrastructure Day which will be put into MOspace.

Felicity attended the ACRL Workshop on Scholarly Communications and CI Day.  Tammie attended a webinar on Policies for Adding Original Records to WorldCat.  Felicity and Tammie attended sessions presented by Chris Eaker, Data Curation Librarian at the University of Tennessee, Knoxville.

A current project is the digitization and cataloging of University of Missouri 4-H Club Circulars from the 1920s through the 1960s.  Adrienne has enjoyed working on this project to preserve historical 4-H material. Funding for this undertaking came from Project Ceres via a grant co-written by Noel Kopriva and Felicity Dykas.  Digital copies of these circulars will be in the MU Digital Library and in AgNIC, the Agricultural Network Information Collaborative.

 

RAIS Reports (Wendy Batson)

  • The Library Ambassadors passed out Hot Box Cookies on Speaker’s Circle for National Library Week.
  • Rhonda Whithaus set up rooms for librarians and staff to be able to attend sessions of the Electronic Resources & Libraries and Designing for Digital conferences.
  • The library now has a trial for the EBSCOhost discovery tool up on the Gateway (the tab next to Summon), and there is a link for users to submit feedback.  The Usability Group is also conducting testing to compare various discovery tools.
  • Sandy Schiefer has graciously agreed to provide support at the Missourian Library after Nina Johnson retires.  Sandy will work part time in Government Documents and part time at the Missourian.

 

 

Security (Marcia Strong)

 

Ellis is having issues with non-students’ odor and sleeping in the Information Commons. They are having problems with students smoking outside near the north entrance.

 

 

Library Technology Services (Dustin Hoffmann)

 

First, Apple is dropping support for QuickTime.  This means that there will be no further updates to the product including security patches.  As such, two security vulnerabilities discovered earlier this year will not be repaired.  LTS will be uninstalling QuickTime from MU Libraries Windows computers over the coming weeks remotely; please refer to an e-mail that LTS will be sending out soon.  It is strongly advised that QuickTime be uninstalled from personal computers.

Second, DoIT has not decided on a time for deploying Windows 10 to the University environment.  LTS will be distributing Windows 10 at some point; however, we are waiting for the completion of DoIT's preparations.

 

 

Cataloging & Metadata Department (Jack Batterson)

In addition to routine cataloging, authority work, cataloging projects, and catalog management activities:

  • Resolving 250+ missing/lost items from the Journalism Library.
  • Continuing making available remediated items from UMLD2 as they are reprocessed into compact storage.
  • Resolving problems from UMLD2 of various types, need cataloging, need barcodes, etc.
  • Completed moving of the abstracts A-TX to Room 202 prior to Spring Break.
  • Cataloged books and added donor/honoree headings for the Donor Appreciation Ceremony as well as MU Remembers.
  • Working on updating annual holdings information for the HathiTrust.


Angie Burroughs Kelly’s last day will be May 4th as she and her family relocate. We wish her great success in future endeavors.

 

HSL (Deb Ward)

 

  • Construction report: They will remove the stairway from the Atrium during the first two weeks in June during the hours of 6pm – 2am weekdays. HSL will close at 6:00 PM on those days.
  • UpToDate – funding secured last Friday. School of Medicine pays two-thirds of the cost.
  • Deb was in Philadelphia at the Changing Landscapes of Health Sciences Libraries conference. They talked about the way facilities are changing and looked at how to include the Library in the curriculum.

     

    • Terri and Taira coordinated our National Library Week celebration. They showcased recent equipment purchases for standing while working, showed the new trial Scannx scanner to some people and got students to fill in the NLW thought bubbles about what the library means to them.     • Ann Riley & Deb Ward attended a recent session in which Mitch Wasden, MUHC CEO, reported on the "Culture of Yes" initiative of University of Missouri Health Care.

      • The "Culture of Yes” is a positive approach to meeting the expectations of patients, and it covers the concepts of care, deliver, innovate, and serve.
      • The hospital units have had some competitions on how to implement the culture

Digital Services Report to Library Assembly (Adrienne Arden)

Digital Services staff has spent considerable time this past month on activities related migrating materials to the now “MU Digital Library”. 

By invitation Felicity attended the RAIS meeting this month to discuss the work of the Digital Services department. 

In collaboration with Kelli Hansen of Special Collections, on February 15, our department hosted an Early American Literature class of about 11 students who are working on transcribing a handwritten manuscript that is in Special Collections.  The digitized book and transcript will be available in the MU Digital Library.  The class came to see and hear about our operation and were quite interested in our scanning and editing process.

The School of Medicine construction project, Patient-Centered Care Learning Center, continues. The building is finally beginning to go up, after months of utility and foundation work. We’ve been told that the third floor should be up by around the end of April. The company is working on a mock-up of the exterior finishes that will be erected close to the Military Science Building, and groups will be let into the area to see the finishes when they are ready. The planners are working on a summer timeline that will determine when the work will be done to demolish the stairway that is outside of the HSL entrance. We are making plans to relocate some staff during the worst of the noise related to the short-term demolition work.

 

Cataloging & Metadata Department (Jack Batterson)

Wayne is pulling data files from MERLIN for updating our holdings for ILL with the RAPID consortium.

Karla cataloged an original comic art collection by Dale Freeman for Special Collections.

 

Catalog Management has finished the initial A-TX portion of the Index Project for Room 202.  Additional volumes have been identified for transfer, and we will work on them once we get approval to continue.

Replacements for government documents from UMLD2 continues as does making treated volumes available in the MERLIN catalog.

Digital Services Report presented by Adrienne Arden

 

From its inception, Digital Services was responsible for subscription-based e-resources cataloging and record loads.  When Brian was reassigned to UMLD, the department struggled to keep up on this work, plus the work of the digital library and institutional repository.  That e-resources work has been re-assigned to Corrie Hutchinson’s units.  Felicity spent a chunk of time last semester documenting the tasks involved.

 

Priorities in Digital Services continue to be keeping up-to-date with adding content to MOspace, processing material for inclusion in the HathiTrust, and migrating content from the legacy digital library to the new MU Digital Library.  Progress is being made in each area. 

 

We have a new online form for content submission for MOspace.  It allows MU students, faculty, and staff to complete the license form and submit documents in one step.  Thanks to Diane Johnson and Michael Spears for their work on this.

 

In collaboration with Special Collections, we have another SISLT practicum student this semester.  The practicum student will continue work on a digitization project of Pages from the Past.

 

Felicity attended ALA Midwinter meeting in Boston.  Along with Edward McCain, she is serving on a SISLT search committee to identify two new faculty members for SISLT.

  • The project to move print indexes to room 202 has begun.  Anne Barker created the list of titles to be moved, in consultation with subject specialists, and is trouble-shooting problem titles identified by Technical Services.  Technical Services is preparing the volumes to be moved and Ryan Bish in Shelving is working with is staff to move the materials into 202.  We are still exploring the possibility of removing the study rooms at the end of Room 202, so we will only use shelving on external walls at this time.  Thanks to everyone for their work on this project.

Catalog Management Unit is almost done with Phase 1 of the transferring of indexes from the stacks, 3 East Indexes, Reference, and Ready Reference to room 202. This includes call numbers A-TX. The next phase is the Z classification materials identified by RAIS for transfer to Room 202

Acquisitions and Collection Development, Accounting & Consortial Resources Report presented by Bette Stuart

 

  • Acquisitions and Serials has been working on a project to identify serial titles that come as part of big packages (and are not paid individually) in MERLIN.  It can often be difficult to tell how or why we gain access to a serial if it is part of a package with no order records attached to the bibliographic record.  To that end, we have been adding 990 notes to the item records to label their parent/major package. This is still a work in progress, but if you run a ‘z’ (Internal) search in Sierra for any of the package titles listed below, you will get a complete list.  We are working on adding years, pca notes, etc. as necessary to these labels.  Thanks to Kathy Peters, Stara Herron, and Dave Walsh for working on this project.

Last month I reported that our main scanner had broken down.  The Zeutschel scanner is back in operation, and with its new motor, it may work even better than before.  With this repair the Savitar migration has resumed. We have begun to migrate issues of “ShowMe”—thanks to Tammie Busch and student assistants. The covers are quite colorful and look good in our digital library.

We are almost done uploading books in four Ag Experiment Station series:  Bulletin, Circulars, Research bulletins, and Special reports.

Hopefully, in the future we can use Facets as a way to collate items this way; Facets will not work in the digital library at this time. In the meantime, sub-collections is a quick way to provide this organization.

With our new workflow using batch processing, we uploaded the spring and summer theses, and the spring dissertations in a snap.  We have not received the paperwork for 2015 summer dissertations yet.

Government Publications & Data Services Update

Marie traveled to Washington DC for the annual FDLP conference in late October.  While in DC the news came that Missouria tribal elders had accepted Willow's invitation to speak.  Upon learning the status of those who'd be coming, the gov docs program was reworked to become a diplomatic welcome by the University and the Library itself.  Marie began work on the Native American event immediately upon her return, and it took most of her time until November 4.   With Marie's being out of the office and/or being otherwise occupied, Sandy held down the fort doing all of the things that must be done on a daily basis in the office, including taking more reference questions than usual and taking full part in the shared responsibilities in RAIS.

Professional Development:

  • Noel and Kim presented at the MLA/KLA conference in Kansas City on “Perspectives on the ACRL Framework, Comparing Standards, and Creating Learning Activities for Information Literacy.”  Created a supplemental LibGuide (https://libraryguides.missouri.edu/frameworkperspectives)
  • Met with other UM instruction librarians at MLA/KLA – began planning instruction retreat for Spring 2016

Journalism Library Update

  • Working on Student Fee projects

    • Karen created a set of social media images to be sent out on Twitter
    • Sue repurposed them to PowerPoint and they are playing (in a loop) on the journalism library’s front monitor, the reference monitor and on one of the RJI monitors in RJI 100 (RJI entrance)
  • Ordered 6 Google Cardboard VR readers to use with mobile phone apps.  Placed them on the 6 tables in the journalism library along with a laminated sheet explaining use and where to get apps.  Clyde Bentley created the explanation sheet, a journalism professor who teaches an emerging technology class. 
  • Ordered 5 new microphones, cables and cases to accompany the Canon Vixias available for everyone to checkout
  • Working with lots of grad students as they finish research papers, theses and projects. 
  • Received an inquiry from White House Correspondent and MU journalism grad, Major Garrett, as member of White House Correspondents Association Board of Directors about partnering with the j-school to hold and manage a digital archive of every pool report for the President of the United States (for newspapers and TV, they write separate ones) dating back to 9/11/01.  Comes with potential funding.  Waiting for Edward to return to discuss.
  • Preparing guides for two upcoming classes; 

    • A modified version of Janice and Rebecca’s Maximizing Research Impact – for journalism (social sciences/humanities/multidisciplinary research)
    • Core strategic communication writing course.
  • Worked with Sifan on a Qualtrics survey sent to strat comm faculty on how to improve the strat comm libguide.
  • Had my first meeting with Dean Kurpius.  He is meeting with everyone in the j-school. 

 

Online Information Services Update

  • Gwen has been invited by the MU Office of Economic Development to serve on a planning committee for Innovation Week 2016, planning community-wide events of seminars, nationally ranked speakers, Missouri Tech Expo, etc.
  • Worked with volunteers from RAIS to test the Ebsco ebook mobile app.  Information is posted at https://libraryguides.missouri.edu/ebscoebookapp.  Marketing efforts will be conducted in the near future.
  • Completed ARL statistics for annual report.

Research Services Update

  • All have been busy with much instruction and interaction with faculty, but I think we’re meeting our main goal for the semester: surviving!
  • Janice has presented two Fridays@theLibrary workshops, on measuring research impact with Noël and maximizing research identity with Rebecca Graves. She is preparing for another on data management with Felicity.
  • Paula continues to coordinate preparations for Black History Month. Congratulations on obtaining a grant from the Missouri Humanities Council!
  • Rachel is also working on Black History Month preparations. She’s also been working with Nav on updating Zotero videos.
  • Rachel was also invited to guest lecture for an instructional design class.
  • Anne convened a meeting of selectors with Humanities interests to compare needs of our respective departments and facilitate joint decisions on the use of NEH funds.
  • Anne led a workshop on copyright conundrums.
  • Thanks to Kate Anderson for presenting on myVita at our October Research Services Forum. Future fora are in the works—probably none for November, but one on liaison best practices in December.
  • Open Access activities and 4th floor moves dominated October.

User Engagement Update

 

  1. Centennial Celebration – historical tours of Ellis Library; created hallway displays of old Ellis Library photographs, created a video on the history of Ellis Library

Student Fee for Libraries – tabling at Student Center, organized “Door Volunteers” to promote the fee at both entrances in Ellis Library; worked with MU Libraries Student Ambassadors to staff several events and Door/Entrance promotion; extensive, (round-the-clock),  monitoring of social media this month; gathered furniture pictures and other materials for Room 114 Committee.

Kathy Peters, David Walsh and Stara Herron are working on a project that will help make our large e-serials packages more visible and more easily accessible to Acquisitions staff as well as selectors. They are adding an internal note with a “990” MARC tag to item records. These notes can be found with a “z (Internal)” search, as well as a create list. So far, “990” notes have been added for titles in the Elsevier Core and the JSTOR Arts & Sciences collections.

Mike has created a webpage showing progress on the building construction next to the library, with a countdown to completion. 

 We participated in health sciences research day, and one of the presenters was the first to use the new method for depositing their work into MOspace. 

Taira has been appointed to the planning committee for MU Healthcare Sharing Days to be held next spring. 

Deb Ward reported that she would be traveling to Springfield to meet with the hospital librarians there, in order to establish a collaborative library services relationship that will support the School of Medicine expansion.

Our department is pleased with the progress we’ve made migrating material from the Legacy Digital Library to the MU Digital Library.  Part of that migration is material from the Agricultural Experiment Station–of the 880 items from that source, 650 have been added to the MU Digital Library.

Unfortunately, our digitization efforts have come to a halt as our main scanner that is regarded as the departmental workhorse, has broken down.  Efforts to get it repaired are underway.

This is “International Open Access Week”. Felicity is on the planning committee and has been quite busy with several events, three of which are happening here in Ellis Library.
 

Access Services Report presented by Tammy Green

Ivy Hui is now in place as Head of Interlibrary Borrowing.

On October 8, about 65 students from Eldon High School in Eldon, MO came for a visit.  This is one of their English Literature classes and they checked out 199 books.  A second group from this school, will visit during Thanksgiving break and another group will visit in February 2016.  Eldon is one of nine high schools that will take the opportunity to use our collection each semester.

E-Learning

  • Set-up of the E-Learning Digital Media Studio in Ellis 156 is coming along. We now have 2 new computers for the GRAs and Librarians needing special software. We have the Adobe Creative cloud on 2 Macs and Camtasia on one of them. Purchase items for E-Learning and collaborative digital projects include: Canon DSLR camera, Go Pro HERO4 Camera, Microphones, Professional Headphones, Microphone Mic Wind Screen, Large display and monitor, Wireless Bluetooth Speaker for conferencing, Dry-Erase Board. These add to existing video studio equipment. Funds used for the purchases came from DoIT, Journalism Library, and a one time E-Learning Budget.
  • E-Learning GRAs are beginning to review and create new tutorials. They are assisting with e-learning videos and tutorials projects working with librarians and other departments, e.g. for Reserves. We need to update the Spec Collections videos. They also work on somewhat related projects like editing recorded Faculty Lectures so these are available for future viewing.

Government Documents

  • Sandy is leading a project to arrange maps more logically and effectively in 1 East.
  • Marie recently returned from the 2015 Biennial Meeting for ICPSR Official and Designated Representatives where she gathered information on the newest trends/technologies in quantitative research (QR).  On October 14, she will be presenting to the Personal Financial Planning department a brown bag session on these developments.
  • Sandy recently returned from the MLA conference in Kansas City.
  • Marie will be traveling to Washington DC for the 2015 Annual FDLP meeting in late October.
  • We have begun conversations to open up historic Missouri state government publications in Hathi Trust.  Presently, most post 1923 is unavailable for viewing due to lack of copyright clearance.
  • Our unit is gearing up for an exhibit and presentation undertaken in collaboration with the MSA Student organization Four Directions.  Four Directions plans to bring Native American speakers from Missouria and Osage tribes, and Marie is working with an alumnus to get arrowheads found in Boone County for the exhibit cases.  The event will be held in the colonnade on November 4 from 1-2pm.
  • Marie has been working with the Office of Financial Aid to build a series of presentations for the MU Student Financial Aid Committee, which she chairs.
  • Sandy attended a faculty meeting in Political Science and presented information about the library and our services.
  • The ongoing project to overhaul the Govt Info website continues.  We have developed a master list of policies and best practices to help make our site as consistent and user-friendly as possible.

Instruction

  • Noel and Kim presented at the MLA/KLA Meeting in Kansas City.
  • English 1000: It has been very busy—have received over 65 requests as of October 1st.
  • Plagiarism Tutorial: Over 600 students have completed the Plagiarism Tutorial this semester so far!
  • Scavenger Hunt: Over 525 students have completed the scavenger hunt including the FIGs, SSC 1150/1151 and English 1000 classes

Journalism Library Update

  • Finished fall instructional sessions
  • Many consultations with grad students about research projects
  • Created secondary research backgrounders for sports & entertainment promotion course
  • Ordering books – targeting communication and social sciences research and methodology ebooks so the online classes have access.  Building an online collection of these books and posting them on the Mass Media Research and PhD Research libguides.
  • Working on Life magazines:  looking for volumes with missing pages to be filled by Ellis’ collection which will be moved from Ellis library.

Online Information Services Update

  • GRAs taught 2 sections (Finding Articles and Finding Books) for the International Students’ workshops. 
  • Work continued on the FY15 electronic resources usage statistics report and ARL statistics.
  • Working with Acquisitions to assess 360 COUNTER as an alternative to one of their budget models.
  • Coordinated trials for CAB, PrivCo and ReportLinker (limited audience trial).

Research Services Update

  • Preparations for Open Access Week with members of MSA/GPC. Rachel also surveyed her faculty regarding their experience with OA, something we may want to expand to others.
  • Much ado about the 4th floor of Ellis.
  • Paula represented the libraries at Fall Fest Sept. 9.
  • Preparations for Black History Month (Paula chairing; Rachel also involved)
  • Scheduled the first two Research Services Forum meetings. (Thanks to Janice and Felicity for work on the Open Access Forum. Kate Anderson will be presenting on myVita later in October.)
  • The usual crunch of instruction/workshops. Some highlights: Janice and Noël provided instruction for two high school classes involved in yearlong science research projects. Janice also conducted a specialized Endnote workshop for students at the Life Sciences Center.
  • Collection development: review of serials is ongoing; Anne and Corrie have provided collection development training for new(er) selectors; Janice has received and evaluated a large genetics library collection.
  • Anne and Rachel attended the MLA/KLA conference.

Health Sciences & Veterinary Library Report presented by Terri Hall

  • New HSL digital display monitor is up and running. We will display things such as workshops, library services, new books, library hours and closings, weather related info, exam related info, and much more
  • Katy Emerson will join the HSL staff on Monday as Senior Library Information Specialist/ILL manager.
  • For Open Access week  we acknowledged some of our faculty who had  recently published open access articles
  • Caryn & Diane participated in the recent Cerner conference in Kansas City.  Cerner provides the clinical data warehouse for MU Healthcare.
  • Several grants are being submitted with librarian coinvestigators.
  • We provided information in support of the School of Medicine’s upcoming LCME accreditation visit
  • Taira attended MU Healthcare crew training. She will be an ongoing participant in Quality Improvement team meetings and the multidisciplinary team meetings

  • Rebecca has been appointed to the fiscal affairs committee for faculty council and is also serving as recorder

Additional Note from Deb Ward

About 100 people visited the HSL last Thursday, October 15, to attend the HSL Centennial Celebration. In addition to celebrating 100 years of information services on campus, we celebrated National Librarians' month and the anniversary of J. Otto Lottes' birthday.

The event featured a slideshow of quotes from users, the historical video on Ellis Library, and two handouts. One handout was a timeline illustrating the development of HSL along with the founding and  growth of the health schools and the university hospitals & clinics. Medical hangman and a photo booth for selfies were popular with guests. It was also the debut of the digital signage that LTS got up for us. Thank you, LTS! Terri will say more about how we will use it. We also gave away three prizes drawn from comment providers and six door prizes.

The value of events like this is the opportunity to tell users about our services and highlight the value of what we do to support their work. It's also a great way for staff to talk to users informally and build stronger relationships. I'm pleased that the HSL could participate in the Libraries' Centennial by hosting this event.


Catalog Management Report presented by Jack Batterson

We are pleased to welcome our new LIS II cataloger Angie Burroughs Kelly, who started October 12, 2015.

Catalog Management Unit has begun processing items from the 4th floor.  This effort will involve quite a large number of vinyl records (from the Recorded Sound Collection), which must be transferred to Remote Storage by Thanksgiving break.  In addition, after faculty review, approximately 10,000 volumes may need to be transferred from the 4th floor to Remote Storage by the end of the semester (Friday, Dec. 19th).

Library fee vote:  Library staff should use appropriate opportunities to remind students to vote in the upcoming November library fee vote.

Centennial student art contest:  A student art competition is being held as part of the year-long celebration of the one-hundredth anniversary of Ellis Library.  All entries must be received by February 15, 2016.

Ellis Library Rededication:  A rededication ceremony will be held January 15, 2015, as part of the one-hundredth anniversary of Ellis Library.  It will be held in the Grand Reading Room  and will include presentation of Steven Weinberg’s commemorative book.  It is expected that Chancellor Loftin and other dignitaries will attend.

Digital Services Report presented by Adrienne Arden

In the last two weeks we have received an unusual number of requests (four) for permission to use digital images from material in the digital library.  Most have been for personal use; one for use in an upcoming Vox article.  We are very pleased to see this concrete example of the value of our work.

We are making great progress in the migration of material from the Legacy Digital Library to the MU Digital Library.  Our current projects are the Savitar, the Mizzou alumni magazine, Agricultural Experiment Station publications, and the St. Louis World’s Fair collection.

Our SISLT practicum student and English intern are working on digitizing and adding “Pages from the Past” to the Digital Library.  This item from Special Collections is a collection of leaves that date from the 1500s to the 1800s.  Other libraries hold other versions of Pages from the Past.  We researched other such collections and ours will be one of only a few that have been digitized and made available online.

The Department played a role in helping Trenton format and publish his book, Rare Books in MU Libraries Special Collections.  It might be considered our first publication.  It is now available in the MU Digital Library.

MOspace recently received an upgrade and new look.  We are still working out some indexing issues that occurred with the change.  New additions to MOspace are final reports and proposals from the MU Interdisciplinary Innovations Fund, 2008-2014.

Digital Services personnel use several different systems and tools and seem to push the capacities of the systems we use.  Felicity thanks everyone in the department for their ongoing patience when faced with the weekly occurrences of slowness, crashes, and/or unexpected glitches.

Government Information/Data Archives Service

  • Sandy is planning a Tumblr page for Gov Info to be online by the end of the semester
  • Marie is planning and helping with Centennial events, exhibits, entertainment and promotions
  • Have been getting several referrals from the Census Research Data Center, making more students aware of the service provided by Gov Info.Marie sends out messages on the new DATA-ARCHIVES-L listerv weekly.They have a handful of subscribers and would appreciate support in getting the word out.
  • Working on overhauling the Govt Info website this semester

Journalism & Missourian Libraries

  • Lots of instruction sessions (have had one for every entering undergraduate and graduate student)
  • Photojournalism classes using photo book collections
  • 12 iMacs replaced. New software: Adobe Premiere Pro
  • Worked with alum and Ohio State University Emeritus professor on Stephenson gift of issues of the Operant Objectivity journal to fill the gaps.  We will be only the third library to have a complete run of the journal.

Online Information Services Department

  • GRAs divided into two groups to create and conduct two workshops in the International Students’ Workshop series
  • Working to complete FY15 electronic resources usage report
  • Graduate assistants received training for virtual reference services
  • Implementing Summon 2.0
  • Next few months will work on metadata on LibGuides to make them findable in Summon
  • Finalizing details for BrowZine web implementation

Access Services

 

Reference service – 4 Access Services staff with or working on a Library Sciences Degree completed the Reference Training.  They are covering one hour per week each. Opportunity is helping on closing the gap between the two Ellis frontline desks.

 

Receipt printers in Ellis Library Circulation – Worked with LTS and received receipt printers.  In process to order BPA free paper.  Patrons will have option to request printed and email receipts or no receipts. Printed receipts will include messages about how to renew books online. Tentative implementation date October 5.

 

LibAnalytics in Ellis Library Circulation – Working with Rhonda to create a circulation data collecting page to be used at the circulation desk at the Ellis Library.  Implementation date not yet decided.

 

Searching for new LIS Senior for ILL – Desirable date to complete process Friday September 11.  Selected candidate tentative starting date is October 5. (This position has since been filled.)

 

Access Services information/library webpages – Department working on identifying and updating information for pages referring to Circulation, Reserves, ILL, and Shelving.  In progress.

 

Library fines and Bursars – Freddy will take over processing Bursars.  Training in progress.

 

Recorded Sound collection – Plans for Recorded Sound collection are to house it behind the Ellis Library Circulation Desk.  Logistics about circulation is being discussed.

 

Instructional Services and Instruction Committee

  • Scavenger Hunt going well, and continually being tweaked based on comments and suggestions
  • Planning faculty lightning rounds in October on topics of interest to faculty
  • Received 45 instruction requests from English 1000 classes so far
  • Good turnout for Fridays @ the Library Workshops

Science Branches and Web Development

  • Engineering placed 115 books on print reserve for 90 courses
  • Introduced the circulation of 5 board games and two card games to the Engineering Library
  • New members were added to the Math library committee and are interested in identifying journals that may be sent to the depository as space is extremely tight.
  • Created new headers for the library websites using the Webcom Unit signatures to comply with the new guidelines
  • Updated Sharepoint sites
  • Rolled out E-Reserves and working on improving faculty use of the system

User Engagement Department

  • Mike is working on LibGuide on the history of Ellis library with lots of photographs, Grace is working on creating videos
  • Library Ambassadors continue to work on promoting the student fee.There are 70+ ambassadors
  • No more FIG tours, but drop-in tours were offered the first week of classes

 

 

Health Sciences Report presented by Terri Hall

Construction has started on the Patient Centered Care Learning Center.

Rebecca has been teaching a ton of classes, and the librarians have been doing 1 on 1 research consultations with our students.

Diane has been helping the residents prepare their posters for the American College of Physicians Missouri chapter meeting next Saturday. 

Soon we will be migrating our chat service from snapengage to Springshare.

Caryn & Taira prepared some citation reports for the provost’s office on an extremely tight deadline.

Taira has set up a twitter account for our library.

We have begun conversations with our librarian colleagues in Springfield about the satellite clinical campus for the school of medicine.

Quiet Study hours begin Sunday, September 17. Between 6pm – 9pm, entry to the library is restricted to just those students enrolled in Health Programs, IDs required. Quiet Study hours will continue through Thursday, October 1.

There will be a gift announcement in Ellis Library Colonnade on September 11, 2015 at 11:00 a.m. announcing the establishment of the Trogdon library endowment for the purchase of Special Collections materials. All library employees are invited to attend.
 

Digital Services Report presented by Tammie Busch

Digital Services continues to make progress in all our work.  Felicity commends the department for their extra efforts in filling gaps left by unfilled positions in the department. We are all working on the legacy digital library site migration which currently has utmost priority. Our goal for completion of the migration is end of fiscal year 2016. We have also managed to complete some special project requests including uploading the Interdisciplinary Innovation Fund proposals and final reports into our institutional repository. Adding to our challenge is the fact that our institutional repository recently ran out of space and we have been experiencing frequent errors while uploading in our digital library. A new MOspace IR release is scheduled for today. Felicity has put in extra hours to get this ready for today’s release. We had a summer student working on digitization of the Columbia Missourian. He made great progress in testing different scanning and image specifications to maximize the final quality.  Our GLA is continuing with this project and we hope to be posting final products to the Digital Library soon.

This past Saturday, Felicity and Trenton Boyd met to continue work on the rare veterinary books bibliography that is being compiled for the library’s centennial celebration.

The Digital Services staff have been attending FRBR (Functional Requirements for Bibliographic Records) and RDA (Resource Description & Access) training produced by the Library of Congress. RDA is the content standard we are using in our institutional repository and digital library.

In order for progress to continue with our electronic resources, our GLA is helping with e-book cataloging.

Reserve has already processed 38 class lists.

The recent discovery of bug infested books at Univ of MO Kansas City has resulted in finding a few more damaged ones at Engineering Library.   No one is sure when this happened to the latest finds.  However, these books have been promptly dealt with by Michaelle Dorsey & her crew.  Replacements will be sought.

HSL & Vet Library Report presented by Terri Hall

Reference had a surge of online consultations with our distance learning students last month.

Over 60 new medical students opted to attend our library orientation sessions.

The med students’ libguide was completely revamped this year.

We continue to work with the new E-Reserves systems, establishing new guidelines, educating faculty and requesting system modifications.

Catalog & Metadata department has an opening for a Sr. Library Information Specialist. The application deadline is August 28, 2015.

HSL Report presented by Deb Ward

We are working on a water fountain upgrade for our main service floor, replacing the existing water cooler with one that includes a water bottle filler. It will be the same model as was installed in Ellis Library recently on the ground floor. Thanks to Pat Jones for sharing information on the process, contacts, and the model selection.

In cooperation with the LTS digital signage pilot, we will be installing a large screen monitor just inside the Health Sciences Library entrance. Thanks to Brycee McDonald, Mike Spears and Ernest Shaw for assisting with this. Terri Hall will be our content coordinator. We will relocate Dr. Lottes’ portrait to another area on first floor in order to make room for the monitor.


Acquisitions & Collection Development, Accounting, Consortial Resources presented by Bette Stuart

  1. We received a large donation of journals, mostly related to social work and gerontology. Of the 477 items received by our department, 374 were offered to other libraries through backserv (only 1 was claimed – the rest are being recycled), 81 have been/will be added to the collection, 9 were monographs and sent through the monographs gifts process , 12 were sent to HSL, and 1 was sent to Law.
  2. Serials acquisitions staff are working on serial renewals for 2016.
  3. We are in the process of adding LSO (Consortial Resources) records in MERLIN, and testing the LSO feeder.
