Library Management Team Information and Action Items, 7/26/16

Travel Budget and Policy
INFORMATION: Kathy sent out a draft 2017 travel budget to the members of LMT. The spreadsheet included FY2016 details. The projections for this year were based on last year’s travel, but budget is $18,000 less. LMT members had a discussion about how this money would be allocated.

ACTION: Ann and Kathy will work on final numbers and a travel policy based on LMT discussion to present at All-Staff Meeting.


Development Update

INFORMATION: Ann talked to LMT about some changes that she and Matt have discussed regarding development for the Libraries. Library Society event will be held April 28 to coincide with campaign cabinet meeting. It will be a cocktail buffet followed by a special event open only to Library Society members. We are working on possible speakers for this event. Please send any ideas to Ann or Matt.


Purchasing Cards
INFORMATION: Kathy reported that as the Admin Office transitions fiscal operations due to Ellen and Steve’s retirements, we are going to try reconciling Purchasing Cards a little differently.  Ellen and Steve did an amazing job behind the scenes due to their vast wealth of knowledge and experience. But Kathy will need to have employees provide more information about purchases in the future.

ACTION: Kathy will hold a training session in August for all cardholders to review purchasing guidelines.


Fall and Winter Break Hours
INFORMATION: Jeannette sent the proposed Fall and Winter Break hours for Ellis Library to LMT members. Ellis Library hours have to be reduced due to budget cuts and the failed student fee proposal. She pointed out the following changes:

  • Library closing at 7:00 on Fridays and 6:00 on Saturdays.
  • Slightly reduced weekend hours on holiday weekends.
  • 24/7 week prior and week of finals. 
  • Extended Circulation Hours on Sunday mornings for week prior to finals and finals week. However, not extended for Friday and Saturday night of those two weeks.
  • Reference Desk closing at 10:00 instead of 11:00.

ACTION: LMT members suggested a few days on the proposed fall and winter break hours where hours should be expanded. Shannon will make changes and get them distributed. Pat and Jeannette will work on getting appropriate staffing to cover the extra hours.

Graduate Study Carrel Fee Proposal
INFORMATION: A proposal to increase the fees for the graduate study carrels was submitted to LMT. The proposal was to increase the fees by four times the current amount because they had not been increased in over ten years. It was suggested that this discussion be tabled until Noah Hartsfield brings his Graduate Study Carrel policy proposal to LMT.


United Way
INFORMATION: Deb stated that Sheila Voss has been recruited to be the United Way district ambassador for the Libraries. Cindy Cotner, Karen Eubanks and Deb will continue to serve on the United Way Committee. They will hold a chili kick-off again this year.

MU Policies on Political Activity and Voting

As we head into the last few months of this election cycle, I know that many of our Library staff are engaged and passionate about the political candidates and issues.  Remember to be respectful of viewpoints that may differ from yours, and considerate of all of our staff and patrons. 

The University policy on political activity (HR-509) allows University employees to engage in lawful political activities, and also states that such activity must be done on the individual’s own time and should not interfere with University duties.

The HR policy on voting (HR 411) states that all University employees may receive time off with pay for the purpose of voting.  Any employee who may need time off for voting must request the time off prior to election day, and should work with their supervisor to determine the best time to be away from work.

August 8 – 2016 Rainbow House Golf Classic

Rainbow House is excited to host its 26th annual Golf Classic. Stan Utley had the vision twenty-six years ago of giving back to the community in a truly unique way. This vision became an annual tradition for Rainbow House and a partnership with PGA golfers. Participate as a sponsor for Rainbow House Golf Classic and help us provide services to children, youth, and families in our community. August 31  – 2016 Queer Fall Fling

Come to the 2016 Queer Fall Fling hosted by the MU LGBTQ Resource Center! Come by for some community, resources, fun, games, and free food! Free and open to Tigers of All Stripes. September 27  – Harriet’s Return theatrical production

Karen Jones Meadows’ Harriet’s Return: Based Upon the Legendary Life of Harriet Tubman brings into full light why Mother Tubman still influences the consciousness and actions of people throughout the world. This unique, award-winning, crowd pleasing theatrical production delves so deeply into the private and public life of Harriet Tubman that audiences believe and behave as though they are experiencing everything with her.  Harriet Tubman’s non-stop high energy portrayals of 31 riveting characters living through humorous and wrenching moments begins in a contemporary restaurant and ends nine decades later as she passes into her afterlife.  From childhood innocence to teenage rebel, romantic hopeful to heartbroken pragmatist, she evolves into famed Underground Railroad conductor, spiritual icon, revolutionary, and sage.

 

Travel Scholarships for Graduate Students to Attend DtMH 2016 at UCLA

Please encourage interested graduate students to apply for a travel scholarship to attend the fourth “Dodging the Memory Hole” (DtMH) forum to save born-digital news. The deadline for applications is August 31st! The event takes place Oct. 13-14 at UCLA Library and will feature a roster of nationally-known experts and champions working to preserve the “first draft of history” in digital formats. DtMH 2016 is funded in part by grants from the Institute of Museum and Library Science and the Donald W. Reynolds Journalism Institute.

In Case You Missed It: Access Services Update-Receipt Printers

One of our priorities in Access Services is to constantly evaluate our services. We have had concerns about the high patron traffic that Ellis Library has during the regular semester and the long checkout waiting periods that frustrate our patrons. So, we identified a solution that will provide a more efficient checkout flow. After a year of planning and multiple conversations, Access Services is implementing the use of receipt printers at the Ellis Library circulation desk. We also discussed health concerns when using some receipt paper, so we found BPA Free receipt paper.

Process

  • No longer using due slips and due date stamps
  • A single click in Sierra to print a receipt for all items
  • Patrons can choose between receipt or no receipt

    • Many prefer checking account online  (this may help encourage awareness and use of accounts)
  • We will use only BPA Free receipt paper

Benefits

  • Faster checkout services to all our Ellis Library patrons
  • Minimizing collection damage
  • Summer will give us time to fully adapt and be ready for the Fall semester
