Notice of Intent to Retire – Important Updates

The Retirement Office has completed revisions to the Notice of Intent to Retire form and the current document is live on their website and available for immediate use. There are a few changes to bring your attention to regarding this new document. These changes are valid immediately and considered official procedure effective 1/1/17.

  • Email will continue to be the delivery method forall retirement election packets.

    • The Notice of Intent to Retire document contains a section for the employee to provide their preferred email address, this is the email that will be used to send all election forms (insurance and pension).
  • Retiree insurance election forms will be emailed to retirees who will be eligible for insurance in retirement upon the Retirement  Office’s receipt of the completed Notice of Intent to Retire document.  (this is a new procedure)

    • These forms should be completed immediately upon receipt and returned to the Retirement Office no later than the employee’s official retirement date. 
  • Retiree insurance election forms and Pension election forms will be sent in separate emails.

    • Insurance Forms Emailed: Upon receipt of completed NOI in Retirement Office
    • Pension Forms Emailed: Approximately 30 days prior to official retirement date (if 60 days’ notice was provided)
  • Older versions of this document with signatures dated on or after 3/1/2017 will be returned and asked to be resubmitted on the updated form.
  • Please destroy any old hard copies or old saved versions and replace with this new version.
  • The check boxes in section two remain required fields and must be completed in order to start the retirement process.

Guidelines for Processing Administrative Leave for Dec. 27-30

The Chancellor has delegated authority to the vice chancellors and the provost to grant paid administrative leave to employees in their respective units and determine which employees are required to work during the period 12/27-12/30. Please use the following as a guide for processing employee pay.

Administrative Leave Pay for non-exempt employees (ADH)

  • Employees scheduled but not required to work 12/27-12/30 will be compensated at their normal rate of pay and will not be required to take personal or vacation days during that time.They are entitled to ADH for the number of hours they were scheduled to work.

    • The Time Reporter should record the appropriate quantity of ADH on their timesheet.
  • Employees previously scheduled to use paid time off during the Administrative Leave period should use ADH in place of the previously scheduled paid time off.

    • Entries already submitted on the timesheet can be changed by the employee until 11:59pm on 12/31/16.
    • Delete the recorded paid time off. Submit the timesheet.Then record the ADH.
  • ADH hours do NOT count towards the total hours worked for overtime calculations.

Administrative Leave Pay for exempt employees (AVM)

  • Employees scheduled but not required to work 12/27-12/30 should enter AVM for the number of hours they were scheduled to work.
  • Employees previously scheduled to use paid time off during the Administrative Leave period should use AVM in place of the previously scheduled paid time off.

    • Entries already submitted on the timesheet can be changed by the employee until 11:59pm on 12/31/16.
    • Delete the recorded paid time off. Submit the timesheet.Then record the AVM.

Employees Required to Work during the Administrative Leave Period

  • There are certain operations that must be maintained during this period and will remain open. Division and department heads should identify employees
  • Employees required to work during the Administrative Leave Period should coordinate with their supervisor to arrange an equivalent time off at a later date.

    • When the Administrative Leave is taken later in the year, it should be recorded in the timesheet as ADH/AVM, for BIW/MON employees respectively.A comment should be recorded to indicate the leave is related to the 12/27-12/30 Administrative Leave.
    • While the time off can be arranged for later use, it must be used prior to the end of calendar year 2017, before transferring to a different department or prior to separation, whichever is earlier.

Welcome to Jacqueline Rash and Lindsay Youngbluth

Jacqueline Rash will join the Libraries as a Sr. Business Support Specialist in Administration. She will be providing fiscal support as well as executive support to the Director. Jacqueline begins her new position on Monday, December 5.

Lindsay Youngbluth joined the Libraries as a part time Library Information Assistant in ILL – Borrowing. Lindsay began her new position on Monday, November 28.
