Public Relations & Marketing Committee Meeting, 8/3/15

AdZou: It is late for fall semester but if we get our project in by September we can qualify for Spring 2016.  For this project, the target audience will be faculty—creating collaborative partnerships and communicating about our resources and services.

Formats and style guide for communication:  Shannon indicated that we use AP style.   Logo has to be compliant with MU guidelines.  More information is available at identity.missouri.edu.  It was suggested that we put updated information regarding formats, style guides, logos, etc. on Sharepoint.  Ask Shannon if you have questions.  She has the print guidebook in her office.

Action Items:

Dorothy will fill out AdZou form and send it to committee members for their comments and suggestions.  She will send the final form to John Stemmle.

Dorothy will use Box to set up a SWOT grid that will also include a column for stakeholders.  The committee members will fill out the SWOT information.

 

Notes from the Director, 8/6/16

Hello everyone,

It’s hard to believe we are another week closer to the start of school again.  On Monday, Reference training starts, and the semester isn’t far behind.  Our new User Engagement Librarian, Grace Atkins, starts Monday in Ellis, so let’s all welcome her, along with other new staff.

You all should have received your re-appointment letters with next year’s salaries. Sorry it could not have been more.  A question that’s been raised is about the percentage listed.  Remember to add any lump sum for longevity or additional assignment, etc. to your salary to get the real percentage, as those are in addition to 1 ½ % for most people. Thanks to all for your continued service to the University and the Libraries.

On the 4th floor project announced last week, it’s still confidential, but I have made the Provost aware that we didn’t want it, had way too little notice, and will need her help if we must make it happen. We need a more workable time frame, assuming it still has to be here.  Time for faculty consultation is essential, and we need a way to address the Student Fee Capital Improvement Committee funds used for the Nook. Hope with me that we can have some impact on at least the timing of the project.

The Student Fee Working Group continues to work on getting promotional material ready for when the students return. We know our Library Ambassadors, our library student group, will be effective in the peer marketing of the proposal, and our Social Media Group will be doing much marketing also.  Most of us are in a different age demographic than our students, and we have to reach them as voters. Special thanks to Matt Gaunt for all his very hard work on this.

Judy Maseles asked me to announce that our webpages will now refer to us as “Libraries”, rather than “MU Libraries”.  MU Libraries was repetitive and some felt it was confusing (University of Missouri, MU Libraries—why put MU right after University of Missouri).  The Law Library is fine with this. We will transition to using Libraries on cards and stationery too, eventually, as we use up what we have…  See upcoming NewsNotes for more details.

Digital Services Report presented by Adrienne Arden

Digital Services has been quite busy this month working on the migration of digital materials from the Legacy Digital Library into the MOspace Digital Library.  Included are the Sanborn and Plat maps from the early 1900s and Agriculture Experiment Station materials.  The Savitar collection is undergoing improvement in both content and appearance.

Tammie, aided by one of her student assistants, has been scanning selected historical items for an Ellis Library Centennial Collection that will be made available in the Digital Library in honor of the library’s Centennial celebration.  Some examples of this material are library historical rules and hours, such as dinner was observed by closing the library between 6 p.m. and 7 p.m.  Checking out books was limited to three at a time, and, “Book stacks are open to the teachers and officers of the University.  Otherwise, admission to the stacks is necessarily restricted to those advanced students whose work would otherwise be seriously impeded.”  Admission cards were issued by the Head of Circulation only, and the application had to be accompanied by a recommendation from the faculty member who oversees the student applicant’s work. This begs the question: How did undergrads become advanced without access to the library?

Mike Holland joined our weekly departmental meeting on July 20 to get a better understanding of how our team plans and functions. We welcome Mike’s presence at future meetings.

We are anticipating the arrival of spring 2015 electronic theses and dissertations which we will make haste to add to the MOspace Institutional Repository.  We are also working with a faculty member and a Ph.D. student on a project to add datasets to MOspace that are related to urban biodiversity.

Lastly, we have begun another round of enhancements to Ebrary records.

Access Services Report presented by Tammy Green

The twice daily delivery via email of pickup notices seems to be working.  The problem is selecting the best time to do the second delivery.

Circulation will be experimenting with printing paging slips for in-house patrons on weekends and evenings

Administration Report presented by Ellen Blair

Noah Hartsfield, has created new student hour and dollar tracking spreadsheets, which should be very useful to supervisors. 

RAIS Report presented by Wendy Batson

-New librarian, Grace Atkins will start on August 10.

-Five new staff members (with an MLS or currently in an MLS program) will be attending the week-long Ref Desk training in August and will then work an hour or two each week at the Reference Desk in the fall.

Collection Services Report presented by Ruth Feldkamp

Now that we've reached a new fiscal year, new monographs are back to the usual rhythm.

Cathy Richardson has moved from Physical Processing/Preservation up to Shelving, as of Monday, July 27.

Catalog Management Report presented by Jack Batterson

MCO completed the re-mastering of authority files in Merlin.

Catalog management is still adding new items and discarding the old copies of the Y 4 government documents.  These Y 4 documents were destroyed by the mold at

UMLD2 and Ellis Library is working with other libraries on getting replacements copies.

Catalog management is continuing to keep pace with UMLD in making Merlin records available as they are “reprocessed.” This is part of the ongoing mold remediation process.

Security Report presented by Marcia Strong

No revise of appendix A until the new Director of Library is hired. The Libraries will be giving a merit based pay raises, the letters will go out on the first week of August. The University of Missouri, MU School of Medicine, and Mercy health systems of Springfield, Missouri recently broke ground to transform medical education in Missouri. The project consists of a $42.5 million medical education building in Columbia and the new MU clinical campus in Springfield.

Ellis Library Electrical Outage

An electric outage has been scheduled for Ellis Library on Thursday, August 6th,  from 4:30 a.m. until 6:30 a.m. This outage is necessary to allow Campus Facilities personnel to work on the electric service to the building. This outage has been scheduled with the building coordinator to minimize disruptions to the activities in the building. Ellis Security will be on site. 

 

Centennial Planning Committee Meeting, 7/23/15

Centennial Kickoff – Matt Gaunt, Rebecca Graves and Sheila Voss on the sub-committee

  • The food arrangements have been made for the Centennial Kickoff.  We are planning enough food and water for 500 attendees.
  • Sheila contacted Marching Mizzou to find out if they are available to play at the Kickoff. The organizer won’t have that information until August, but was not optimistic about their availability at that time. Sheila will contact someone at the School of Music for ideas. Please contact Sheila if anyone has ideas on another band that could play at the Kickoff.
  • It was decided that there will not be a representative from the Athletics department at the Kickoff, but we would like to have a representative from MSA speak instead.
  • Rebecca will lead the Games sub-committee for the Centennial Kickoff. Rachel Brekhus has already agreed to serve on the sub-committee. Rebecca will recruit additional members as needed.

Rededication Celebration – Marie Concannon and Gary Cox on the sub-committee

  • The Ellis Library Rededication Ceremony has officially been changed to Friday, January 15, 2016, from 3:00 – 5:00 p.m. Chancellor Loftin has confirmed that he will attend the ceremony on January 15.  

Library Society Dinner – John Budd and Sheila Voss on the sub-committee

  • Sheila reserved the Columns Ballroom and Great Room at the Reynolds Alumni Center for the Library Society Dinner on April 15, 2016. The committee needs to decide if we are having the Library Society Dinner at the Reynolds Alumni Center or in the Grand Reading Room (Room 201) of Ellis Library.
  • There was a question if David Ferriero, Archivist of the United States, has been confirmed as the keynote speaker at the Library Society Dinner. This committee will follow-up at the next meeting.

 Other Activities

  • Marie Concannon announced at the last meeting that Alberto Manguel has been in contact with her about speaking at one of the centennial events. The committee decided to wait until there were more members present at the next meeting before deciding if we want to host another event with Manguel. The committee also decided to delay making a decision about a centennial art contest until more members were present. 
  •  Shannon Cary announced that the centennial banners will be displayed by the time of the Centennial Kickoff in September. She will send out renderings of the approved banners to the committee members. It was also suggested that we have historical exhibits displayed on the flat screen televisions in the Libraries.
  • Shannon brought up the topic of staff shirts for the Centennial celebration. The shirts would be available for distribution at the Ellis Library Rededication Ceremony in January. 
  • Rebecca Graves reiterated that the Health Sciences Library will be celebrating J. Otto Lottes birthday anniversary this fall as part of the centennial celebrations.
