Tech Tip – Contact Groups

To enhance speed or work faster on a slow connection there is a way to send emails more efficiently.  Instead of sending email to individually selected people, try creating a Contact group.

1. On the bottom left hand side of Outlook 2010, under the tab for mail and calendar, select contacts.  After selecting the contacts tab, look for the tab that says New Contact Group. It is located at the upper left hand side of Outlook.

2. You can then select Add Members and find emails for your contact list from Outlook contacts, Address Book or New E-mail Contact.

3. After you do this, click OK and the contact group is saved under Contacts folder with the name you give it.

Tech Tip – Outlook Calendars

In Outlook you can add an additional calendars for work or your own personal use that is a separate calendar. To utilize this tool, follow these steps:

-In Calendar, click on the folder tab

-Click on New Calendar

-You will then see an option to type in the name of your new calendar

-You should then be able to access the new calendar on the Calendar navigation pane.

-By selecting the check boxes on the left navigation plane, you should be able to view the calendars at the same time.

Tech Tip – Scheduling a Meeting in Outlook

If you work in 2010 Outlook calendar and would like to schedule meetings, these directions should help. Go to File, Options, choose calendar, then select Free busy options (this allows you to view who is available and individuals can be added to have certain privileges). You can then select “Other free busy options” to set up your meetings for up to 6 months.

Tech Tip – Dealing With Junk Mail

Junk mail and Spam are always troublesome and can clutter up your inbox. Here are a few suggestions for how to deal with these problems.  When you receive Spam, copy the text of the internet header into an e-mail and forward it, along with the e-mail in question, to the Division of Information Technology (DoIT). Spam should be sent to spam@missouri.edu, and any other problem email should be sent to abuse@missouri.edu.

If you receive junk mail in your inbox and would like get rid of it. Right click on the email and click on junk. This should open up several options for you to select, such as blocking the sender of that email. You can also select Junk Options where you can then add email addresses of junk mail senders so they will be blocked in the future, and add the addresses of safe senders that aren’t junk mail.

Tech Tip – Print Preview in Outlook

The option of “print preview” is not available in Outlook. This isn’t  needed in Outlook since the image of your page can be automatically viewed on the right hand side of your screen when you click File and then Print.  At the bottom of the page, there are three buttons that allow you to view several pages of your email at once, zoom, or just view one page at a time.  A set of arrows permit you to scroll through individual pages of your email document.

Tech Tip – Printing From Outlook

Printing from Outlook can be challenging, because it’s a little different from other Office applications. Other Office apps let you print directly from the print menu, whereas Outlook doesn’t. Instead, you must click the small Print Options button on the Print menu. From there select a Page Range option and you can specify the number of pages you would like to print from your email.

Tech Tip – Customizing Folders in Microsoft Outlook 2010

There are so many options in Microsoft Outlook 2010 that will make managing your email easier.  One useful feature is the search folder. It is a folder that you can customize to hold messages that fit specified conditions of your choosing.  It’s like a Favorites folder.

For instance, you could create a folder that is named Urgent Mail which only includes emails from your boss. To create this, right click on search folders on the right side of your Outlook email, or go to the Folder tab on the Tool Bar and click New Search Folder. Then, in the New Search Folder box, specify your conditions by selecting the type of mail you want to receive in that folder. For example, mail from specific people or mail sent to groups.

Using the Search Folder option will save you steps; you will no longer have to file mail from your in box; it is automatically moved for you.
