1.) General announcements & introductions: Kevin McFillen

  • Guest Speaker: Dr. Angela Speck, unable to attend due to sickness.

2.) Director’s report: Ann Campion Riley

  • Ann has been working with donors for new digital media commons.
  • James Keyzer-Andre managed the depositories and recently passed.
  • James B. Nutter recently passed; Matt Gaunt represented University Libraries at his funeral in Kansas City yesterday.
  • Ann hopes her new title reflects an understanding on behalf of the campus of the importance of the role that the Libraries provide for campus support.Library director and dean positions are still the titles used for our other system campus libraries.
  • We will be looking at updating titles for LMT members as a result and these title adjustments will be more in line with our ARL status.
  • Ann’s new title allows her to represent the libraries at Vice Provost meetings.
  • We do have a small raise pool to work with salary equities. We are waiting to hear from HR, concerning their salary and wage guidelines, if we are able to give raises.
  • New Chancellor Alexander Cartwright starts August 1st.President Choi’s family is moving to Providence Point this month as well.
  • Thank you to Nöel for being our acting engineering librarian and Cindy for being our acting head of access services.
  • Library Committees hope to be approved at LMT on Friday.
  • Information Commons has new furniture in the Gov. Docs area.Chairs with arms will be replaced with additional chairs with no arms allowing them to slide under the new tables easily.
  • Please feel free to make the following considerations for working on Monday, August 21st, the day of the Eclipse and first day of the fall session: travel to and from work expecting heavier than normal traffic, working from home with the approval of your supervisor or taking personal days, if desired.

3.) Update on Lewis Hall water damage:

  • Anselm explained the water damage, showed pictures of the extent of flooding and answered questions about the situation.A power outage caused the expansion joint to bust when the power came back on.Flooding extended through 8 floors in Lewis Hall.The rooms in the basement remained at 67 degrees and 45% humidity and allowed us to move some items therein.If possible, record boxes were returned to the Records Center. Those boxes with water damage were evaluated and either placed in the Ellis Library 3rd floor freezer or sent for confidential destruction. Those records which were destroyed had been previously appraised and been determined to not be of archival value. The records that were placed in the freezer will be vacuum freeze-dried at a later date.They estimate a 10-14 day drying period so we will look to middle of next week when employees can move back into the building.Thank you to Michaelle Dorsey for her ample assistance to manage and preserve materials.We are currently taking patron requests and reference questions at this time through normal channels.It may take one additional day to retrieve materials for patrons but requests are still being filled.Thank you for everyone across campus who has offered help in dealing with this situation.Risk management came in on Saturday to assess the damage. Freeze drying work will be done with our insurance reserve and the insurance company will reimburse us for those expenditures later in the year.Anselm considers the possibility for moving Archives permanently out of Lewis Hall only if the collection will be housed in a better more secure environment.There is an idea that when the State Historical Society moves out of Ellis, that Archives would get some of that space.Then the question would be if that space meets archival standards and what it would take to bring the space up to these standards.Although Lewis and Clark is on Campus Operations’ list for re-evaluation, despite the flooding, other buildings on campus are in worse shape.

  • Library Info Assistant Circulation and Reserves position is accepting applications until 7/21/17.
  • Two evening Library Info Assistant positions are open in HSL.

Division Reports:

  • ACTS – Corrie Hutchinson

    • We are moving to MOBIUS Standalone on July 1.There are changes in the workflow and ticketing system that will be addressed in detail in the near future.
    • Welcome to Julie Housknecht, Technical Services Manager; Waldemar Bartikowski, Programmer/Analyst; Tom Barnes, ACTS Business Support Specialist II.
    • Collections budget is still unknown as we hope for reallocations from the 12% cut.
    • An automatic ILL request button is in the works.
    • ACTS division discussed priorities in light of the limited budget.
    • New UMLD van will be delivered in a few weeks.
  • RAIS – Jeannette Pierce

    • Online Educational Resources, being an initiative of President Choi, are getting more attention.Grace Atkins is working with Shannon Cary, Ann Riley and students to develop OERs for the libraries.
    • MU Connect implementation: June 1. Librarians will be connected with students and faculty.
    • Head of Instructional Services beginning of August.
    • Statistics are being reviewed for annual reports and evaluation of services we provide.
    • Jennifer Gravely will be able to stay through the summer.
    • Microform is looking to move off site, but we hope to have Microfilm readers/printers available.
    • Cindy Cotner will be the Interim director of Access Services.
    • Working with Digital Preservation Library, Sandy Schiefer, Nav Khanal and Matthew Stephens will do much of Judy’s web administrator duties.
    • Anne Barker is weeding reference materials.
    • Freddy Martinez Garcia’s last day is June 23.
    • Recorded Sound space will close at the end of June and materials within will be considered for relocation.
    • Special Collections is reviewing their materials and are considering transferring items that meet specific criteria from the general stacks to Special Collections.
  • Specialized Libraries – Noah Hartsfield on behalf of Deb Ward

    • Panic buttons will be installed in specialized libraries (and throughout Ellis) in July.
    • Offices were rearranged and a wall was moved to create more student workspace.
    • An Open House, sponsored by Staff Development Group, is being held on July 20 at 1:30 p.m. and a tour of the Medical School addition will ensue at 2:30. July 28 is the formal dedication of the addition.
    • Barb Jones is pursuing a partnership with SISLT this fall.
    • Diane Johnson will be working on a with the School of Nursing for the American Heart Association
  • Director’s report: Ann Campion Riley

    • Please attend the Budget forum with Provost Stokes at 2:00 p.m. in 114a on June 20.We will discuss budget projections moving forward.
    • Current Budget: Cut represents 1.367 million dollars cut to collections. We hope we will be able to get some discretionary funds back.
    • Don’t expect additional University separations.We will look to distribute recorded sound material within the library. The asbestos in that area will prevent us from making large structural changes.
    • July 5th old chairs will be moved out and July 6&7th Marathon will move new furniture into the Information Commons.Counter high tables will be added and additional new furniture will be added to seating outside of the Gov. Docs. area.
    • Chancellor Alexander Cartwright will start this summer.
    • We have met our Development goal for this year.Reminder to attend the Libraries Fundraiser event this Friday June 16th.
    • There is no big change to the plan for the Student Enhancement Fee fund allocation.We will promote the message that upgrades to furniture and security are due to this student fee.MULAC will be updated on the allocation of funds at every meeting and communicated using “#enhancement”.
    • Campus has retained an enrollment management consultant for Mizzou.
    • Communications and Marketing departments have been outsourced to streamline our messages between System and Mizzou.
    • We will have a consultant come in to review the administration structure at the system and University levels.
  • Staff Announcements:

    • Digital initiatives at the Missourian have been enhanced due to many images recently being uploaded.
    • MULSA is looking for staff to help with book sale.
    • Ellis will get new phones July 25th.

    • Please conclude the Performance Evaluations in the near future.
    • The upgrade to PeopleSoft will change look and feel of myHR and timesheets at the end of July.Training handouts will be available.

    • MULSA encourages everyone to attend the annual picnic on June 16th at Gordon Shelter at Stephens Lake Park.Pulled park will be served complimented by a solar eclipse theme and special giveaway eclipse glasses to boot.

Staff Advisory Group Meeting, 5/11/17

  1. Directors Report – Ann Campion Riley
  • Budgets have been submitted to the Provost’s Office. There may be some possible relief from cuts, especially to Collections, but details are not yet finalized.

    • Some Security staffing has been moved to Student Enhancement Fee funds, freeing up some other funds in a helpful way.
    • The Chancellors Office and Provosts Office have asked units not to release information until they have reviewed every unit’s submissions. The goal is to have one big announcement, rather than a string of smaller announcements dragging the process out over the course of weeks.
    • Some of the cuts will come from Collections, as well as some positions being kept vacant.
  • New phone plans will be more economical, with further information to come.
  • A meeting was held with the Space committee about Ellis lower level construction. The State Historical Society should move out sometime in late 2019.
  • The new furniture for the Information Commons will be installed in Late June or Early July. The Student Enhancement Fee funded it, and signage celebrating that will be placed in that area.
  • Question: Will the Bookmark Café be open over summer?

    • The Bookmark Café should be open during its regular summer hours, with limited interruption due to the Lowry Mall steam tunnel work.
  • Question: Is there an interim Provost while Dr. Stokes is Interim Chancellor?

    • Garnett Stokes will remain as Provost as well as Interim Chancellor until new announcements are made.
    • There will be no public sessions for the new Chancellor candidates.
  • Public Meeting about the FY18 Budgets will be held on Monday and Tuesday 5/15-16. They will be both open to the public, and livestreaming. An email was sent by the university about the sessions.
  • Voting for MULSA officers will begin soon. Please consider running, and please vote.
  • Celebration of Service Luncheon will be Thursday 5/18 from 11:30-1:00. Please attend.
  • Question: Did anything come from the budget suggestions submitted by staff?

    • Several suggestions about budgeting were made and passed on to other parts of the University. Cooperation across all four campuses on shared and shareable projects was a notable suggestion made. Cross training within the Libraries was also suggested, and will be considered.
  • An evaluation survey for Interim Director Anne Campion Riley is currently open until 5/12. Please complete it if you are able.
  1. New Business

    • Phone transfer – Kathy Peters and Ernest Shaw
  • New phone cut0over to occur on 7/25.
  • This has been a long running project, including an audit of all almost 200 lines coming into Ellis, as well as assessments of service needs. Thanks to all staff for allowing their space to be invaded for that process.
  • Call types (long-distance, international, etc.) will be tied to the physical phone, so there will no longer be a need for Watts codes for calling. Voice mail will be sent directly to a user’s email. New speed dial options will be available. Conference calling of up to 8 numbers will be available. All units will be new, and capable of speaker phone access. Caller ID with names will be available, and correct.
  • Trainings will be available, with details to be sent out closer to the cutover date.
  • There will be a service disruption on the cutover date, but this will be minimized as much as possible. Details will be distributed closer to the cutover date.

    • Open Positions – Sheryl Cullina
  • Two positions at HSL Circulation: 1 open through 5/24. The other will be filled by part-time positions.
  • Business Support Specialist II in ACTS: working on references for candidates now.
  • Head of Instructional Services: Interviews have been completed.
  • Associate Director for SCARaB: Accepting applications through 6/10. The Search Committee will be chaired by Corrie Hutchinson, and include Michaelle Dorsey, Kelli Hansen, Anselm Huelsbergen, Tim Perry, Sandy Schiefer, and Anne Barker.
  • Engineering Librarian: Accepting applications through5/15. The Search Committee will be chaired by Deb Ward, and include Kate Anderson, Michelle Baggett, Gwen Gray, and Karl Hammond of the College of Engineering.
  1. Results of the SAG Survey – Noah Hartsfield
  • There were 58 responses; many were from people who had attended meetings.
  • Overall, they were positive, and constructive.
  • Most notable result: No respondent who had attended a meeting said that the meetings should be discontinued.
  • Some common themes:

    • The Director’s Report section was popular; Face to face time with Ann was seen as a positive.
    • The time commitment was significant, efforts to keep the meetings to only 1 hour are prompting changes to the structure of the meetings.
    • Non-Library guest speakers were incredibly divisive, almost 50/50 on if they should be continued.
  • Changes to the SAG meetings:

    • On a monthly basis, meetings will continue to include a Director’s Report, pre-submitted issues (like this month’s updates on the phones), and a Q&A section.
    • Guest speakers are being kept, but are being reduced in frequency to about once a quarter. Guest speakers will rotate with Division Head Reports, and an inside-the-Libraries guest speaker, who will discuss how various parts of the Libraries function, and projects some parts are working on.
  1. Upcoming Events

    • Sheryl Cullina:

      • Call for Committees will be going out shortly, please consider nominations, and running.
      • MyPerformance assessments are due by mid-June. Please complete you sections, and supervisors, please complete the assessments of those you supervise.
      • Celebration of Service luncheon is Thursday 5/18 from 11:30 to 1:00. Please attend.
    • Kathy Peters:

      • Lowry Mall steam tunnel repairs are scheduled to begin in late May. The Lowry Mall should remain passable, and the north door to Ellis and the State historical Society door should remain accessible throughout the project.
      • Some refrigerators will be placed in the hallway of the ground floor. These will be locked, and are part of the equipment for the Bookmark Café. They will be moved to allow the steam tunnel to be partially rerouted through Ellis, and replaced at the completion of the project.
    • Deb Ward:

      • The construction around the School of Medicine is nearing completion.
      • The Health Sciences Library would like to host an open house to show off the new area and new furniture, date TBD, likely in July.

  • Guest Speaker: Laura Pieter – Outreach Coordinator, MU Career Center

    • Help all students – focus on those in transition, deciding, or in programs that do not have a specific career office or person for the department, major, or school

      • In transition – changing majors, rethinking area of study, etc.
      • Deciding – trying to “figure out” what they want to do and how to get there
      • Without specific office – Neither A&S nor HES have focused career offices, some individual programs have a career advisor or coordinator though
    • Help on a drop-in basis

      • 40+ student peer-advisors/paraprofessionals who undergo 100+ hours of training to work with other students on making career decisions
      • Help through resume/cover letter review, mock interviews, self-assessments
    • Many colleges have focused career services offices which are able to focus on that particular industry and help with recruitment and exposure through career fairs and other programming
    • MU Career Center does not do recruitment or host career fairs

      • Focus is on making student “employable”, not necessarily finding them employment
    • Top services:

      • Resume and cover letter review
      • Self-Assessment – particularly Strength Quest
      • Mock interviews
      • Workshops on online image, LinkedIn, etc.
    • Work with employment while a student

      • Part-time on and off campus, internships, etc.
      • Work Study based in Career Center
      • HireMizzouTigers.com – Job board with over 10,000 jobs a year ranging from full-time with experience to part-time while a student
    • Also offer in-depth career counseling by graduate counseling students by appointment throughout the semester
    • Do a lot of referral work, between area specific career centers, international center, etc.
    • Question: Interview space for students

      • Do have some interview spaces for students as do some of the college specific offices (for skype and such); need to call career center to arrange
    • Do maintain a reference library of career resources, available for use in the career center, many are only and linked to from the website;Craig Benson coordinates getting new resources

      • If you work with student groups, Career Center and do presentations, specific workshops, provide resources, etc.

      • Looking at moving HSL ILL to HSL tech services space and opening up study area of the library further by removing a wall

    • Library has been modeling a variety of cuts for a while

      • Looking at program effectiveness, encouraged to make vertical cuts if necessary
    • Dean’s Council worried about Dr. Choi’s time line, seems aggressive
    • Focusing on strategic priorities
    • Please maintain on open mind, be flexible, remember no one means ill-will, tight budget situation likely in place for 3 years or so
    • Lots of other big university taking large hits as well, if cuts are strategic, can strengthen the institution in the long term
    • Friends of the Libraries luncheon this Saturday

    • Library has published first annual report in quite a while, will be going out shortly, see Shannon Cary for a copy
    • Student Fee Capital Improvement Committee – awarded library $50,000 for new chairs in Information Commons

      • Some are, Engineering for example working with Rolla to specialize research programs
      • Libraries always work to collaborate across the system, shared system acquisitions

Staff Advisory Group Notes – 03/02/17

  1. Guest speakers: David Currey, Director of international student and scholar services; Kristen Cobrecht, Assistant director of international student and scholar services; Lauren Sellers, International scholar coordinator
  • In general, our International Student and Scholar Services programs support immigration compliance, F1 / J1 students and H1 / J1 Scholars.
  • International Center supports the Institute of International Education, Andrew Heiskell Award, which funds faculty to travel abroad to foster international relationships in research grants, papers and teaching innovations.
  • The International Center has 250 International Agreements: 100 in China, which is representative of the international population attending US universities across the country.
  • The IC provides support, aims to reduce barriers and foster curricular integration for study abroad programs.Most students attend summer short-term study abroad programs.MU sends 14,073 student abroad, making us one of the highest supporters of study abroad among AAU members.
  • International Student Enrollment: almost equal amount of undergraduate and graduate International students, where in the past we have supported graduate international students in greater numbers by comparison.Most students come from China, India, South Korea and Saudi Arabia.
  • The IC would like to encourage us to individually volunteer for the International friendship program. This helps international students make a connection to domestic life in the US.
  • The library is welcome to provide information / hand-outs on services & facilities we provide for students to assist in international student recruitment.
  • Part of the International Student Success Course incorporates how to use the library.Teachers of this class have found it to be extremely helpful for our international students.
  • Lauren Sellers works with visiting scholars H-1B Specialty Occupation Scholars, spouses and dependent support.These students often use a curtesy card through their department to check out library program
  • Emerging issues in international student support: Impact of Executive Order, Changes in immigration regulations, Institutional opportunities and transitions
  • The IC can facilitate undocumented students by encouraging Tiger Food Pantry, clothing resources and law firms who do Pro Bono work.

  • HSL and the Specialized Libraries – Deb Ward:

     

     

    • The HSL has recently had furniture additions, electrical and will be working to obtain lighting enhancements.
    • HSL is Hosting the annual Mid-Continental Chapter of the Medical Library Association (MCMLA) meeting, in October.They plan to use classrooms at Ellis for Continuing Education classes as part of the meeting.Rebecca Graves is the chair of the planning committee.
    • The HSL Information Services Department is working with the School of Medicine Research Council on a drive to register researchers for an ORCID ID. The purpose of it is for each researcher to have a standard identification number to avoid confusion with similar names.
    • Thank you to Judy in transitioning duties as she looks forward to retirement.
    • We will be reviewing the Microforms list to determine what should stay on campus or go off site.
    • Thank you to Library staff for all the work you do for our library and community.

    • Librarians are heavily involved in teaching and workshops at this time.
    • Plagiarism Workshop tomorrow from 1:00 p.m. to 2:00 p.m. is good for Undergraduate students.
    • Cindy Cotner is looking to do specialized workshops for International students.
    • The Student Enhancement Fee vote is Mon-Wed next week.

    • Encourages everyone to review the Annual Statistical Report: give input for future important statistics and contact the Assessment Committee with questions.
    • MU Libraries Undergraduate Research Contest is looking to open submissions up to all research; not just that in paper form.Submissions must include research from MU Libraries.Contest deadline is March 13, 2017.Noel, Tammy and Sandy have more information.
    • Thank you Jen for implementing more user engagement situations.Our Q/A whiteboard, staff picks, reference book display and historic images have been well received.
    • We are offering drop-in workshops for ENG 1000 students who have completed a library instruction session.
    • Working with University of Missouri Extension and the Personal Financial Planning Department, we hope to add a tax preparation site in Ellis.

  • Ann hosted a State Historical Society space meeting. Early 2020 is the earliest that renovations can occur; late 2019 is when the addition would be complete. Ann will relay more as things progress.

  • Budget outlook has no changes. We will know exact cuts in May.We will move forward to fill positions: Head of Instruction, Technical Services Librarian, College of Engineering Librarian, and Head of Special Collections positions.
  • Corrie Hutchinson is orchestrating the ILS transition from the standalone MOBIUS cluster.
  • GWLA research project provides hard data on the correlation of improved GPA and students who have had library instruction. Only 12 libraries were able to complete study.Thanks to Nav and Goodie who were involved from MU Libraries.

  • Guest speaker: Brittani Fults – Education and Prevention Coordinator, Office of Civil Rights & Title IX

    • Emphasized the important role the library can have in supporting and providing a safe and inclusive environment.It is all of our responsibilities to foster inclusivity through our personal interactions.We can also foster inclusivity by highlighting books, online representations, seminars, portraits, and media formats.She also encouraged us to keep the conversation going and to invite new people to the conversation.
    • Office for Civil Rights and Title IX wants to facilitate discussion.

      • The number of reports have increased year over year from 300 to 600.The Office attributes this to more people trusting the reporting & investigation process.
      • Library staff can make reports and encourage others to make reports in three ways: email: civilrights-titleix@missouri.edu, submitting an online incident report form or calling 573-882-3880
      • Support the process and walk individuals to the office in 202 Jesse, be members of hearing panels, and/or advisors to those working through the investigation process.

    • HSL and the Specialized Libraries – Deb Ward:

      • the specialized libraries are responding to cuts as they begin to understand the impact these cuts will have, while also emphasizing the campus wide benefits of libraries.

      • The work of the Libraries as a whole on the Mission, Vision, and Values has inspired HSL to take a look at their specific pieces
      • Working on moving Sandy Schiefer to Missourian Library full time.

  • RAIS – Jeannette Pierce:

    • the webpage: how we tell our users about ourselves, encouraged staff to spend some time on the page, see the scrolling bulletin and calendar of events, the new Ask a Librarian chat has really increased our contact with users, etc.
    • the learning management system changed from Blackboard to Canvas, faculty can make a librarian part of their class, MU Connect will tie subject librarians to students in a specific major
    • we want to build support for a Digital Media Commons, intention to transform 2 group study rooms to student recording rooms with green wall, carpet and sound buffering
    • considering moving microform off site to UMLD2 and weighing how we assess the condition of the microform
    • give support to our subject specialists who are taking the brunt of the discontent from the collections cuts
    • Head of Instruction position update, the search committee will meet this week, job posting is up on the university job board, want to have someone in place by fall
  • ACTS – Corrie Hutchinson:

    • reprocessing of the mold remediation will be largely finalized this spring
    • physical processing is going out for bid for a new commercial binder
    • hiring Technical Services Librarian for ACTS, candidate will serve both System and MU especially with Standalone in MOBIUS
    • working with the Missourian to preserve 1903 newspapers
    • will do a divisional annual report in the near future
  • Director’s report:

    • Council of Deans meetings largely discuss the future budget, we were asked to plan for 5% reduction and will now work on finding the remaining 4% to meet the announced 9% reduction in state funding,

      • Ann doesn’t want to lose any more positions, we do still have hiring needs in the areas of SCARAB and Engineering Librarian positions to fill by next spring 2018 as well a programmer in LTS

      • SSFIC donated $50K to this project, we added additional electrical outlets and various seating options which put us over the donation from SSFIC
      • Additional money may come from other renovation work in Ellis that came in under budget or commission monies from last years Bookmark Café sales. Commissions from July to Dec. are a little higher than last year; giving us a projected $30K in commissions for this year..

    • Cancelled 2 institutional memberships for 2017: CLIR and Medical Library Association memberships
    • SPARC and ORCID were discussed as additional possible memberships to cancel, but due to our desire to remain well-informed and connected, considering our status for research libraries, these memberships were covered by Administration funds
    • Others are being considered, but these are only decisions as of right now.
  • Student Services Enhancement Fees Referendum (Grace)

    • this endeavor comes out of the Student Affairs office, it’s not voted on yet, voting to add the referendum to the ballot will commence tomorrow, Wednesday 2/8/17
    • Students will vote on the referendum March 6-8
    • If passed, libraries will receive $12 per student to address student’s priorities of: extended specialized library hours, 24/5 Ellis hours, enhanced student learning spaces and to fund collections and resources as determined by the student satisfaction survey from last spring

Staff Advisory Group Meeting 10/13/2016

  1. Welcome – Ann Riley

    • Reminder that this is an open meeting and all library staff are welcome to attend.This is a communication group, and intended to advisory to the director.
  2. Libraries Update – Ann Riley

    • Journal cuts are underway.Some things won’t be missed until the spring or summer 2017.
    • Campus Library Committee has held its first meeting.This committee is advisory to the Provost and the Library Director.
    • ULSAC (university library student advisory committee) is working with Grace Atkins.This committee has met a few times.They, along with MSA, are interested in restoring 24-5 library hours.
    • Medical Insurance Benefits – Annual Enrollment is coming up.The system will be open for annual enrollment October 17-28.Please make sure you make an election in the system during this time.
    • Dean’s Council

      • Faculty workload
      • Enrollment forecast
      • Budget assumptions for FY18: Assumptions have been distributed.The Libraries has their campus budget meeting on December 1.
      • Credit hour transfers between colleges:There is a new requirement in Missouri to establish core classes that guarantee that credit for these classes transfers between institutions.This includes an information literacy requirement, so the Libraries are involved in these discussions.
    • Events team:Sheila Voss will be heading up an events team comprised of student employees who will set up and take down events.
    • Space planning:There have been a lot of conversations about the State Historical Society Space, and several units on campus have expressed interest in the space.Ann has also been engaged in conversations about renovating/expanding Ellis Library.
    • Policies:LMT continues to work on revising Library Policies.The most recent policies to be reviewed were Workplace Violence and Loitering.
    • Mike Holland will be retiring in November.Staffing decisions around this have not been finalized, so there is no information to share.

      • Rumor of a leak in 202:Ann confirmed that there was no leak.

        1. Sr. Business Support Specialist (admin)– open through October 24.Replaces Steve Hammer and Mark Ellis.Currently filled by a temp.
        2. LIA (ILL Borrowing) – open through November 1.Part time, 20 hours/week.
  3. Staff Advisory Group Organization – Sheryl Cullina

    • Elections:We need to elect a chair, vice-chair, and recorder.The elections will be held for all-staff, not just those who were able to attend today’s meeting.

      • ACTION ITEM:Sheryl Cullina will write up short job descriptions for each position.These will be distributed when a call is put out for nominations (all-staff email).Voting will be held through qualtrics.
    • Terms:The decision was made to style terms after MULAC.Each term is 1-year.The vice chair is expected to promote to chair after their term as vice-chair is over.Elections will be held each year for a new vice chair and recorder.
    • Meeting Frequency:The decision was made that this group will meet monthly.The executive committee will also meet with the Director on a similar schedule.
    • Should LMT come to the meetings?

      • Suggestions were made that:

        1. LMT should report on their divisions at each meeting.
        2. LMT should attend and contribute to the conversation/communication
        3. Short consolidated report from 1 LMT member at each meeting
        4. LMT should be present to hear from everyone, not just their direct reports.
      • Decision:LMT is welcome to attend meetings/this is an open meeting for all staff. The decision may be made at some point to exclude LMT members for a meeting or part of a meeting due to the discussion, but they are still staff members and may attend in that capacity.
