Address Update for Payroll

It’s getting close to the end of the tax year and we’d like take a moment to ask employees to verify or update their address(es) at https://myhr.umsystem.edu.  This will help ensure correct delivery of W-2 forms next January.  Addresses should be updated no later than 12/31/2010.

The “HOME” address is where W-2 forms will be mailed unless a “MAILING” address is provided.  For example, if an employee, like a student, provides us with the following:

We will send the W-2 to the Kansas address.

Each year we are not able to process reprints of W-2s for any reason until the middle of February (a date determined by System Payroll).  Thank you for your attention to this communication!

Student Excellence Award

Nominations are being solicited for the fall 2010 Student Excellence Award. The purpose of the award is to recognize those student assistants who are dedicated, creative, and/or industrious. Any student assistant employed in any MU Libraries department is eligible for consideration. The recipient will receive a certificate of appreciation which will be presented to the student in his/her own department.

The nomination deadline is Friday, Nov. 26. The award will be announced before the end of the semester. Please forward nominations to Leo Agnew, 104 Ellis Library. The nomination form can be found at http://mulibraries.missouri.edu/staff/committees/staffdevelopment/development_opportunities/employee_awards/student.htm. In the event of multiple nominations, the ‘extra’ forms will be retained for consideration for the spring 2011 student award.

It has been a while since the award was last given*. As such, it seems prudent to list the criteria:

1.       This award is to be given to a student who exceeds in quality and/or quantity the expectations for his/her position, and who has made exceptional or outstanding contributions to the achievement of a department’s goals and objectives.

2.       The award may be given up to two students per semester.

3.       Students are nominated by any MU Libraries employee.

4.       This award is to be given to any student currently employed in the Libraries.

*You will notice the monetary award has been dropped. It is the hope of SDC that student recipients will still find value in being nominated for the award and that supervisors will want to recognize outstanding student assistants via this award.

New Web Page/Path for MU Job Searches

Campus HR has implemented a new recruitment system for classified staff openings. It is called eRecruit and is another component of the PeopleSoft suite of products. The new system provides current employees the ability to access job openings via myHR at https://myhr.umsystem.edu/psp/prd/?cmd=login. The pathway is myHR > Self Service > Recruiting Activities > Careers. From there, one has options by which to search for job postings:

  • by keyword;
  • by time frame, e.g., last week, month, year; or
  • by a general job search.

Employees also can access classified staff job posting information via HR’s web page at http://hrs.missouri.edu/find-a-job/staff/index.php, then click on “current employees.”

As an FYI, campus HR, with support from the Provost Office, plans to implement an identical system for academic recruitment sometime in the near future.

The move to eRecruit affects how supervisors access applications.  Ellen Blair and I recently received training on this part of the process and will be conducting training for hiring supervisors. I don’t know at this time if the training will take place on an ad hoc basis or collectively.

Benefit Deadline

A reminder that the Benefits Annual Enrollment Period will end Friday, November 5, 2010. If you would like to make changes to your current benefit enrollment, including FSA elections, dependent coverage or beneficiary designations you will be able to initiate enrollment changes online through UM’s myHR. If you do not wish to make changes to your current benefit program enrollment, other than FSA enrollments, no action is required on your part.  As a reminder, Flexible Spending Account elections do not carry over from year to year, you must make a new election each calendar year. The deadline to submit benefit changes and FSA enrollment elections is Friday, November 5, 2010.

Job Posting: Security Officer

100% FTE; work evenings primarily (typically, M-TH 11:30 a.m. – 9:30pm.); hours are subject to change based on the needs of the libraries and security personnel. Alternate hours and some weeknights and weekends may be scheduled on occasion. $10.50/hr. Administration, Ellis Library.

Duties: Maintain the security and integrity of the library, its employees and its patrons after library administration’s regular hours. Responsible for hourly rounds, closing procedures, locking and unlocking doors as needed, assisting patrons and staff, setting/disarming alarm systems, and responding to any emergency or situation as needed.

Provide security assistance and protection for library staff, patrons and materials and enforce library and security policies and procedures. Conduct regular, hourly building patrols, open and close Ellis Library, prevent improper removal of library material, process lost and found articles, investigate and report security incidents (e.g., policy violations, thefts, emergencies, etc.). Perform special projects as assigned. Initiate communication with supervisor regarding security issues, project difficulties, etc. Flexibility in scheduling is essential; must also be willing to respond on short notice to requests for coverage. Must be able to work with minimal direct supervision.

Minimum Quals: High school diploma or equivalent is necessary. Possession of a valid Missouri driver’s license is required.

Preferred Quals: Strong interpersonal skills; ability to both follow established guidelines and appropriately respond to unique situations; effective communication skills; ability to work in various situations. Must be reachable outside of work hours when in the general area. Prior security experience helpful. Basic computer/keyboarding skills are required. Must be able to pass standard First Aid and CPR courses as well as a security background check as a condition of employment. Ability to meet project deadlines. Ability to establish and maintain positive working relationships with staff.

Duties: Perform a variety of responsible and complex support services for the MU Libraries Fiscal Officer.  Requires extensive attention to detail, maintain accurate and confidential financial information, data entry, report generation, ordering supplies, etc. Requires the ability to follow through on projects with minimum oversight.

Provide high level support for Libraries Fiscal Officer. Duties include but are not limited to: Conduct review and reconciliation of financial records in PeopleSoft; Identify sources to meet the libraries purchasing needs.  Evaluate and initiate services such as printing, parking permits, auto leasing reservations, equipment maintenance, etc. Communicate appropriate feedback to staff in response to their purchase requests; Initiate orders and provide necessary information to ensure receipt and payment; Prepare Lapsed Salary reports; Provide Controls review; Perform accounts payable functions including but not limited to travel and other vouchers; Perform PeopleSoft data-entry, requisitioning and receiving processes, generate money received reports; Update budget spreadsheets (travel, purchases, gift budget, etc.); Manage receipts and credit card records. Perform basic math computations. Work under direct supervision and meet speed and accuracy goals as determined by the department. Other duties as assigned. Preferred Qualifications: The ability to efficiently support the work of several supervisors is necessary. Requires excellent telephone skills and effective interpersonal communication skills. Proficiency in Word, Outlook and Excel and accuracy in typing and data entry a must. Requires ability to work well with others, attention to detail, organization and initiative. No typing test required.
