{"id":3644,"date":"2011-07-22T09:36:55","date_gmt":"2011-07-22T15:36:55","guid":{"rendered":"http:\/\/mulibraries.missouri.edu\/newsnotes\/?p=3644"},"modified":"2011-07-22T09:36:55","modified_gmt":"2011-07-22T15:36:55","slug":"library-assembly-meeting-minutes-june-21","status":"publish","type":"post","link":"https:\/\/library.missouri.edu\/newsnotes\/2011\/07\/22\/library-assembly-meeting-minutes-june-21\/","title":{"rendered":"Library Assembly Meeting Minutes, June 21"},"content":{"rendered":"<p><strong>Library Assembly Meeting<\/strong><br \/>\nTuesday, June 21, 2011<br \/>\n1:00 \u2013 2:00 pm<br \/>\n159 Ellis Library<\/p>\n<p>Attending:\u00a0 <em>Members<\/em>: Laura Buck, Erin Zeller, Gary Cox, Matt Stottle, Steve Clayton, Stephen Stanton, Mark Ellis, Bette Stuart, Suzy Bent, June DeWeese<\/p>\n<p><em>Ex-officio: <\/em>Ann Riley (LMT), Jim Cogswell (LMT), Deb Ward (LMT), Felicity Dykas (MULAC)<\/p>\n<p><em>Guests<\/em>: From Digitization Unit, Catalog Dept.: Elaine Huntsucker and Regina Guccione<\/p>\n<p><em>Absent:<\/em> PT Martin<\/p>\n<ul>\n<li><strong>Announcement: <\/strong>\n<ul>\n<li><em>Director Jim Cogswell<\/em>: LMT held retreat last week.\u00a0 A written report will be out week of July 5<sup>th<\/sup>.\u00a0 Planning an Open Forum July 21<sup>st<\/sup>, 2- 3:30 pm.\u00a0\u00a0 Focus will be on staff input.\u00a0 The biannual All Staff meeting will be August 16<sup>th<\/sup>. <strong>(CORRECTION \u2013 it will be August 18<sup>th<\/sup>).<\/strong> <strong> <\/strong><\/li>\n<li>Committee Chair Bette Stuart: \u00a0Library Assembly election results:\u00a0 Jack Batterson will represent Cataloging.\u00a0 Karen Witt will represent Special Collections. \u00a0The Acquisitions vote ended in a tie. A representative will be named after this week\u2019s run-off election. <strong> <\/strong><\/li>\n<li>MULAC Chair Felicity Dykas:\u00a0 This is her last Library Assembly as MULAC representative.\u00a0 Next month, MULAC will be represented by incoming chair Anne Barker. <strong><\/strong><\/li>\n<\/ul>\n<\/li>\n<\/ul>\n<p><strong> <\/strong><\/p>\n<ul>\n<li><strong>Dual Appointments<\/strong>:\u00a0 What are the implications of employees who work in two different departments?\u00a0 Should they be allowed to vote for representatives in both departments?\u00a0 If only one, which one? If both, can they be a representative?\u00a0 Can they potentially represent both departments?\u00a0 Or have concurrent appointments \u2013 one representing each department?\n<ul>\n<li>Discussion: \u00a0after discussion it was concluded that this was a bylaws issue.<\/li>\n<li>A suggestion was made to create a bylaws subcommittee.<\/li>\n<li>Some felt the issue should just be dealt with rather than creating another subcommittee.<\/li>\n<li>Chair Elect Gary Cox suggested that we discuss by email.<\/li>\n<\/ul>\n<\/li>\n<\/ul>\n<ul>\n<li>Follow-up discussion of <strong>Ex-Officio members and their membership status.<\/strong>\n<ul>\n<li>Roberts Rules definition of ex-officio was distributed by email prior to the meeting suggesting that members in such status are, by the positions they hold, full members with votes and all privileges.<\/li>\n<li>Discussion shifted to whether or not specific members, in this case ex-officio, should be non-voting members?\n<ul>\n<li>List of ex-officio members of Library Assembly:\n<ul>\n<li>Library Management Team (LMT) members = up to 4<\/li>\n<li>Staff Representative Committee (SRC) Chair\u00a0 = 1<\/li>\n<li>MU Librarians and Archivists Committee MULAC Chair, LMT =1<\/li>\n<\/ul>\n<\/li>\n<\/ul>\n<\/li>\n<li>Jim Cogswell, as Director of Library and member of LMT would prefer to not have a vote.<\/li>\n<li>It was pointed out that it isn\u2019t really a decision making body so there really aren\u2019t a lot of votes.<\/li>\n<li>Also since every department is represented, does having groups like SRC and MULAC present double representation?\n<ul>\n<li>Some asked, \u201cIf needed, what does the department representation lack?\u201d<\/li>\n<li>Others felt the unique roles of MULAC and SRC merit full membership.\n<ul>\n<li>MULAC = Librarian\/Archivist representation.<\/li>\n<li>SRC = an ombudsman role.\n<ul>\n<li>SRC is not department specific.<\/li>\n<li>SRC is not classified\/academic specific.<\/li>\n<\/ul>\n<\/li>\n<\/ul>\n<\/li>\n<\/ul>\n<\/li>\n<li>Ann Riley as someone who was on the task force to create the charge of the Library Assembly:\u00a0 It was the intent of the charge for the Library Assembly to control its own bylaws.\u00a0 It was also discussed and decided that bodies such as SRC and MULAC would have full memberships.<\/li>\n<\/ul>\n<\/li>\n<\/ul>\n<ul>\n<li>Draft Library Assembly Review \u2013 Draft of the survey were shared.\n<ul>\n<li>After considerable discussion the Assembly agreed upon 7 questions to be distributed via survey monkey.<\/li>\n<li>Ann Riley is going to share electronically with Library Assembly so that they can review the text one more time before the survey gets
