{"id":3250,"date":"2011-03-11T13:08:47","date_gmt":"2011-03-11T19:08:47","guid":{"rendered":"http:\/\/mulibraries.missouri.edu\/newsnotes\/?p=3250"},"modified":"2011-03-11T13:08:47","modified_gmt":"2011-03-11T19:08:47","slug":"library-assembly-minutes-feb-22-2011","status":"publish","type":"post","link":"https:\/\/library.missouri.edu\/newsnotes\/2011\/03\/11\/library-assembly-minutes-feb-22-2011\/","title":{"rendered":"Library Assembly Minutes, Feb. 22, 2011"},"content":{"rendered":"<p><strong>159 Ellis Library<br \/>\n<\/strong><\/p>\n<p><strong> <\/strong><\/p>\n<p><strong>Present:<\/strong> <em> Members: <\/em>June DeWeese, \u00a0Laura Buck, Suzy Bent, Stephen Clayton, Stephen Stanton, Gary Cox, Mark Ellis, Bette Stuart (chair), PT Martin*. <em>Ex-officio:<\/em> Deb Ward (LMT), Ann Riley (LMT),\u00a0 Jim Cogswell (Director), PT Martin (SRC Chair)*. \u00a0<em>Guest<\/em>: Shannon Cary. \u00a0<em>Absent<\/em>: Matt Stottle, Erin Zeller.<\/p>\n<p><em>*listed twice \u2013 as department and SRC representative <\/em><\/p>\n<p>\u00d8\u00a0 Agenda(as emailed out 2\/21\/11):<\/p>\n<p>o\u00a0\u00a0 Communications Committee (Shannon Cary)<\/p>\n<p>o\u00a0\u00a0 Staff Web group report (June DeWeese and Laura Buck)<\/p>\n<p>o\u00a0\u00a0 Discussion item: MU Libraries Values Statement<\/p>\n<p>o\u00a0\u00a0 Announcements from\u00a0 Assembly representatives and the Director<\/p>\n<p>o\u00a0\u00a0 Agenda items for next meeting on March 22<sup>nd<\/sup><\/p>\n<p>\u00d8\u00a0 Communications Committee (Shannon Cary, MU Libraries Communications Officer)<\/p>\n<p>o\u00a0\u00a0 Shannon started by describing her position: it is (50% fund raising support\/ 50% Marketing\/Public Relations\/Media Contact).<\/p>\n<p>\u00a7\u00a0 Promotes Library events.<\/p>\n<ul>\n<li>Works with coordinators to determine:<\/li>\n<\/ul>\n<p>o\u00a0\u00a0 Who is the audience?<\/p>\n<p>o\u00a0\u00a0 What is the best way to target audience?<\/p>\n<ul>\n<li>Coordinates the use of promotional outlets:<\/li>\n<\/ul>\n<p>o\u00a0\u00a0 Flyers, pamphlets, posters, mass email.<\/p>\n<p>o\u00a0\u00a0 Facebook, Twitter, MU Library website.<\/p>\n<p>o\u00a0\u00a0 KBIA, Mizzou Weekly, Maneater, papers, etc.<\/p>\n<p>o\u00a0\u00a0 She also works with news bureau to get info items out.<\/p>\n<p>\u00a7\u00a0 For example:\u00a0\u00a0 Archives\u2019 St. Louis World\u2019s Fair exhibit press release will go out nationally.<\/p>\n<ul>\n<li>She supervises a student-designer to help make promotional material.<\/li>\n<li>MU Libraries Media Contact<\/li>\n<\/ul>\n<p>o\u00a0\u00a0 Flyers, posters, postcards, bookmarks, etc.<\/p>\n<p>o\u00a0\u00a0 The Communications Committee \u2013 Shannon is the convener and an ex-officio member.<\/p>\n<p>\u00a7\u00a0 Purpose: to advise on all aspects of MU Libraries and communications\/ process.<\/p>\n<p>\u00a7\u00a0 Started as a taskforce to make an MU Libraries \u201ccommunications plan\u201d.<\/p>\n<p>\u00a7\u00a0 Continued as an advisory group.<\/p>\n<p>\u00a7\u00a0 Website:<a href=\"..\/..\/staff\/committees\/communications\/communications.htm\">http:\/\/mulibraries.missouri.edu\/staff\/committees\/communications\/communications.htm<\/a><\/p>\n<ul>\n<li>The website contains:\u00a0 Objectives, members, communications plan and communications information.<\/li>\n<\/ul>\n<p>o\u00a0\u00a0 Such as how to use MUL logo, suggestions for contact with the media.<\/p>\n<p>o\u00a0\u00a0 Questions:<\/p>\n<p>\u00a7\u00a0 Q. What relationship does communications have with web committee<\/p>\n<ul>\n<li>A.\u00a0 Shannon serves on web committee as an ex- officio member.\u00a0 She helps keep consistency and standards on the web page.<\/li>\n<\/ul>\n<p>\u00a7\u00a0 Q. How could employees help (promote Libraries)? Would she like to attend department meetings?<\/p>\n<ul>\n<li>A. employee could share info and events with her.\u00a0 Some avenues of communications (like twitter) need almost a constant \u201cfeeding\u201d of material (or so it is recommended).\u00a0 It would be helpful to have assistance gathering appropriately tweet-able material.\u00a0 She would be happy to attend meetings or develop a process to get MU Libraries information out.<\/li>\n<\/ul>\n<p>\u00a7\u00a0 Q. Do you (Shannon) need more staff members on the committee?<\/p>\n<ul>\n<li>A. Yes, she would actually like to have more members who could, beyond advising, volunteer to help with outlets like a digital kiosk, or (as mentioned before) Twitter.\u00a0 Many communication tools (like digital kiosks) are easy to set up but hard to maintain effectively.\u00a0 (Keep up-to-date, interesting and fresh).<\/li>\n<\/ul>\n<p>o\u00a0\u00a0 MU Libraries will soon try a web-based free trial of a digital kiosk software.<\/p>\n<p>\u00a7\u00a0 This is in preparation for a full digital kiosk that is under consideration.<\/p>\n<p>\u00a7\u00a0 Like many things, digital kiosks are ideas that seem easy\/simple, but are actually quite complex and time-consuming to do effectively.<\/p>\n<p>\u00d8\u00a0 Staff Web group report (June DeWeese and Laura Buck)<\/p>\n<p>o\u00a0\u00a0 Recommendations were sent out with the agenda (2\/21\/11).<\/p>\n<p>\u00a7\u00a0 June presented report and took a moment to point out some areas of concern\/suggestions:<\/p>\n<ul>\n<li>1. Library policies \u2013 The ones on the staff web are <em>very<\/em> out of date.<\/li>\n<\/ul>\n<p>o\u00a0\u00a0 The subgroup has reasons to believe that revisions to some policies exist but are not the copy posted.<\/p>\n<p>o\u00a0\u00a0 Recommends that the individuals named on each policy (as\u00a0 sponsors) be contacted to update.<\/p>\n<p>o\u00a0\u00a0 A \u201cdocument about the document\u201d may be needed so sponsors know exactly how to update policies.<\/p>\n<ul>\n<li>2. Subgroup suggests that a specific someone (or a few specific people) be designated to update the staff web (when sponsors make changes).<\/li>\n<\/ul>\n<p>o\u00a0\u00a0 The subgroup suggests, as an example, Judy and Shannon could be the ones in charge of updating the page.<\/p>\n<ul>\n<li>3. Someone (or a group) needs to be identified to regularly check the links\/stay in contact with questions of what is still needed.<\/li>\n<\/ul>\n<p>o\u00a0\u00a0 June highlighted student corner as an example of a site that could either go away or be kept in archives.<\/p>\n<p>\u00a7\u00a0 In this case she contacted Mark Ellis to see if still in use.\u00a0 She is still waiting for an answer. Items like this will need follow-up.<\/p>\n<ul>\n<li>4. Perhaps a person or group could determine if SharePoint would be a better destination for some of the material kept on Staff Web.<\/li>\n<\/ul>\n<p>o\u00a0\u00a0 I.e. Historical\/Archival and of interest for staff only.<\/p>\n<ul>\n<li>5. News Notes: June suggests a survey (perhaps using survey monkey) to inquire if\/how often employees are reading News Notes in current format.<\/li>\n<\/ul>\n<p>o\u00a0\u00a0 Would other formats be better (non blog)?\u00a0 Could current blog be reorganized?<\/p>\n<p>o\u00a0\u00a0 Subgroup asks \u201cwhat is next step\u201d for this assignment and the subgroup?<\/p>\n<p>o\u00a0\u00a0 All agreed that the Staff Web Subgroup did a great thorough job.<\/p>\n<p>o\u00a0\u00a0 Jim C. suggests asking the Web Group to stay on as a continuous monitor (if they are willing, perhaps with new or more members).<\/p>\n<p>\u00a7\u00a0 \u00a0Jim further suggests that as they move forward, they consult:<\/p>\n<ul>\n<li> Shannon for consistency.<\/li>\n<li>Judy Maseles for technical help.<\/li>\n<li>Those responsible for links\/material for authority.<\/li>\n<\/ul>\n<p>o\u00a0\u00a0 Sometimes this will be LMT \u2013 especially when it comes to things like the policies.<\/p>\n<p><em>3\/8\/11 &#8211; Clarification after email discussion: <\/em>No further charge or task was officially assigned to the subgroup at the meeting.
