Collection Steering Committee,\n\t\t\t<\/li>\n<li>\n\t\t\t\tThere are concerns about the charge,\n\t\t\t<\/li>\n<li>\n\t\t\t\tIt has not been updated in a long time,\n\t\t\t<\/li>\n<li>\n\t\t\t\tJudy has been keeping the title of removed Policies, but removing the links for historical record.\n\t\t\t<\/li>\n<\/ul>\n<\/li>\n<\/ul>\n<p>\n\t<u>Decision<\/u>: Policy 24 will be deleted and the charge and committee information will be stored in the Collection Steering Committee SharePoint site.\n<\/p>\n<p>\n\t<strong>Diversity Action Committee proposes to change their name<\/strong>\n<\/p>\n<ul>\n<li>\n\t\tCommittee members want to rename Diversity Action Committee to Diversity &amp; Inclusion Action Committee.\n\t<\/li>\n<li>\n\t\tDiscussion ensued about the best way to present information:<\/p>\n<p>\n\t\t\t&nbsp;\n\t\t<\/p>\n<ul style=\"list-style-type:circle\">\n<li>\n\t\t\t\tif we want to move charge document out to publically accessible Sharepoint,\n\t\t\t<\/li>\n<li>\n\t\t\t\tif standing committees don&rsquo;t need a policy but just charges,\n\t\t\t<\/li>\n<li>\n\t\t\t\tmay need policy about how a committee is formed\n\t\t\t<\/li>\n<li>\n\t\t\t\tmay want to put the charge on staff website then a link into Sharepoint for notes.\n\t\t\t<\/li>\n<\/ul>\n<\/li>\n<\/ul>\n<p>\n\t<u>Action<\/u>: Ann and Sheryl will look at the website and how it is organized.\n<\/p>\n<p>\n\t<u>Decision<\/u>: All agreed to accept the name change, delete the policy information and move the charge and committee information to SharePoint.\n<\/p>\n<p>\n\t<strong>Annual Report<\/strong>\n<\/p>\n<ul>\n<li>\n\t\tThe Annual Report needs just a few more edits, can make final draft on Monday, then we will print and send it out.\n\t<\/li>\n<\/ul>\n<p>\n\t<strong>Bookmark Caf&eacute; Spring Break Closure<\/strong>\n<\/p>\n<ul>\n<li>\n\t\tAnnounced that the Bookmark Cafe is approved for closure during spring break to save $1,000.\n\t<\/li>\n<\/ul>\n<p>\n\t<strong>CRL Print Agenda<\/strong>\n<\/p>\n<ul>\n<li>\n\t\tMore talk about shared print will help in development with off-site depository.\n\t<\/li>\n<\/ul>\n<p>\n\t<strong>Bookshelves from Reflector<\/strong>\n<\/p>\n<ul>\n<li>\n\t\tOne person wanted a shelf, which will be delivered around spring break.\n\t<\/li>\n<li>\n\t\tWe have been offered a math book collection donation from the reflector.\n\t<\/li>\n<li>\n\t\tCorrie will need to know what titles we would like to keep.\n\t<\/li>\n<li>\n\t\tLibrary is open to partnering with Rosemary and Dean Chval in future endeavors.\n\t<\/li>\n<\/ul>\n<p>\n\t<u>Action<\/u>: Jeannette will follow up with Paula and Kimberly.\n<\/p>\n<p>\n\t<strong>Review Chain of Command<\/strong>\n<\/p>\n<ul>\n<li>\n\t\tDiscussion: how to communicate what we want to have happen:<\/p>\n<p>\n\t\t\t&nbsp;\n\t\t<\/p>\n<ul style=\"list-style-type:circle\">\n<li>\n\t\t\t\tAnyone who knows of a possible emergency should contact their department head.\n\t\t\t<\/li>\n<li>\n\t\t\t\tDepartment heads will determine if they need to work back down through the Emergency phone tree or utilize the Sequence of Leadership.\n\t\t\t<\/li>\n<li>\n\t\t\t\tDepartment heads have the authorization to send out an all staff emergency email and an all staff all clear email.\n\t\t\t<\/li>\n<li>\n\t\t\t\tSending calls to the reference desk or the admin. office is a curtesy, but division heads need first notification.\n\t\t\t<\/li>\n<li>\n\t\t\t\tProcedures will be reviewed at the divisional level.\n\t\t\t<\/li>\n<\/ul>\n<\/li>\n<\/ul>\n<p>\n\t<strong>Budget Update <\/strong>\n<\/p>\n<ul>\n<li>\n\t\tMid-year financials for FY17 will be shared as completed.\n\t<\/li>\n<li>\n\t\tKathy is looking through them line by line and looking at what the bottom line is for this year and then what adjustments we need to make for FY18.\n\t<\/li>\n<li>\n\t\tWanting to complete this report by May 8.\n\t<\/li>\n<\/ul>\n<p>\n\t<strong>University Budget Committees<\/strong>\n<\/p>\n<ul>\n<li>\n\t\tAnn will recommend our volunteers to the Council of Deans for three committees: Kathy &#8211; Tuition, Corrie &#8211; Resource Allocation, Deb &#8211; Principles.\n\t<\/li>\n<li>\n\t\tAnyone else who wants to be on a budget committee can talk to Ann.\n\t<\/li>\n<\/ul>\n<p>\n\t<strong>Merlin Transition <\/strong>\n<\/p>\n<ul>\n<li>\n\t\tWe are set to migrate on March 30.\n\t<\/li>\n<li>\n\t\tTo migrate we will be down for an entire day so the timing coinciding with spring break was optimal.\n\t<\/li>\n<li>\n\t\tJust found out that if we migrate before July 1 we will be charged for being hosted in April, May and June.\n\t<\/li>\n<li>\n\t\tDiscussion ensued about where to get this funding.\n\t<\/li>\n<\/ul>\n<p>\n\t<u>Action<\/u>: Corrie will find out how much they want to charge us for these three months.\n<\/p>\n<p>\n\t<strong>Microforms<\/strong>\n<\/p>\n<ul>\n<li>\n\t\tStep 1 is to determine what part of the collection is acetate.\n\t<\/li>\n<li>\n\t\tStep 2 is to determine how much is too deteriorated to keep.\n\t<\/li>\n<li>\n\t\tWe can sample to test 1985 and older microforms to speed up process.\n\t<\/li>\n<li>\n\t\tWe will need to determine if we want to move microforms from specialized libraries.<\/p>\n<p>\n\t\t\t&nbsp;\n\t\t<\/p>\n<ul style=\"list-style-type:circle\">\n<li>\n\t\t\t\tDeb has been collecting this information to see how much microforms we have from the specialized libraries.\n\t\t\t<\/li>\n<\/ul>\n<\/li>\n<li>\n\t\tIf we move all Microforms to UMLD we will need to move some scanners to UMLD as well.\n\t<\/li>\n<\/ul>\n<p>\n\t<strong>Proposal for the Removal of Microfilm Readers from Ellis 403<\/strong>\n<\/p>\n<ul>\n<li>\n\t\tDiscussion: microcard and available readers.<\/p>\n<p>\n\t\t\t&nbsp;\n\t\t<\/p>\n<ul style=\"list-style-type:circle\">\n<li>\n\t\t\t\tWe have one reader that we will keep until it breaks, whereupon it will be unrepairable.This reader could be kept in storage.&nbsp;\n\t\t\t<\/li>\n<li>\n\t\t\t\tOur newest microform reader, the ScanPro 3000, can read microcard.\n\t\t\t<\/li>\n<\/ul>\n<\/li>\n<\/ul>\n<ul>\n<li>\n\t\tDiscussion: proposal of evening hour closure of Ellis 406 due to vandalism concerns that have been happening.<\/p>\n<p>\n\t\t\t&nbsp;\n\t\t<\/p>\n<ul style=\"list-style-type:circle\">\n<li>\n\t\t\t\tSome were hesitant to close off another collection.\n\t\t\t<\/li>\n<li>\n\t\t\t\tPat could have officer tally the number of times students request to use 406.\n\t\t\t<\/li>\n<\/ul>\n<\/li>\n<li>\n\t\tDesired timeline is to move the microfilm this summer.\n\t<\/li>\n<li>\n\t\tDiscussion: who would best move these items:<\/p>\n<p>\n\t\t\t&nbsp;\n\t\t<\/p>\n<ul style=\"list-style-type:circle\">\n<li>\n\t\t\t\tWill we need receiving staff to help move items out of cabinets?\n\t\t\t<\/li>\n<li>\n\t\t\t\tIt would be easiest to move the entire cabinet with microforms inside.\n\t\t\t<\/li>\n<li>\n\t\t\t\tDue to weight, these cannot be moved out using the elevators; they will have to be moved by stairs.\n\t\t\t<\/li>\n<li>\n\t\t\t\tCampus movers won&rsquo;t do stairs and won&rsquo;t move full cabinets.\n\t\t\t<\/li>\n<\/ul>\n<\/li>\n<\/ul>\n<p>\n\t<u>Decision:<\/u> we will not put anything new in 406 due to overloading the floor with weight.\n<\/p>\n<p>\n\t<u>Decision<\/u>: Shannon will make a sign for 406 closure at night.&nbsp; If student wants to use the readers, security can let them in.&nbsp;\n<\/p>\n<p>\n\t<strong>Digital Media Commons<\/strong>\n<\/p>\n<ul>\n<li>\n\t\tAnn has a March 16th meeting with the donor, need detail of location and cost of DMC.\n\t<\/li>\n<li>\n\t\tDiscussion:Pros and cons were offered for both proposed spaces;
